Vehicle Stock Inventory Tracking Optimization

I need a seasoned operations professional to tighten up how we track vehicles from the moment they enter our yard to the moment they leave. Right now the data lives in too many places; mismatched VIN counts and delayed status updates are costing us time and money. Your mission is to put discipline, transparency, and real-time visibility into the entire stock-management flow.

Scope
• Map my current process end-to-end, spotting every hand-off where inventory data can fall out of sync.
• Design and implement a single source of truth—spreadsheet model, lightweight SaaS, or an ERP module—so long as it delivers live counts, ageing reports, and exception flags.
• Build user-friendly dashboards (Excel, Power BI, or similar) that show on-hand units, in-transit units, and reconciliation variances at a glance.
• Document the workflow and train the small operations team so they can maintain the system without developer support.

Acceptance criteria
– 100 % VIN reconciliation between physical yard count and system count during a spot audit.
– Aging report auto-refreshes daily with no manual intervention.
– Staff can add, transfer, or dispose of a vehicle in under two minutes using the new workflow.
