Position Summary
The Resupply Specialist is responsible for managing the complete CPAP resupply process, including patient outreach, insurance verification, order creation, prior authorization, payment collection, shipment coordination, and ongoing patient support. This role serves as the primary point of contact for patients requiring CPAP and respiratory supply replacements, ensuring orders are processed accurately, efficiently, and in compliance with payer guidelines.
The ideal candidate has recent hands-on experience in a DME/CPAP resupply environment and is comfortable managing the entire order lifecycle from eligibility verification through shipment scheduling.

Job Duties and Responsibilities:

Conduct inbound and outbound patient calls regarding CPAP resupply needs and order follow-ups.

Verify patient identity, insurance eligibility, benefits, deductibles, coinsurance, and coverage limitations.

Review payer guidelines to determine supply eligibility and replacement frequency.

Create and process CPAP resupply sales orders in Brightree.

Submit and follow up on prior authorization requests when required.

Collect patient payments and explain financial responsibility as needed.

Coordinate shipment scheduling and order fulfillment.

Process recurring resupply orders and maintain accurate patient records.

Communicate with physician offices, insurance providers, and internal teams to obtain required documentation and authorizations.

Provide basic troubleshooting and support related to CPAP supplies and resupply orders.

Ensure compliance with HIPAA, payer requirements, and company standards.

Maintain productivity, quality, and customer service metrics.

Qualifications:

Experience:

Minimum 1–2 years of recent experience in a CPAP/DME Resupply Specialist role.

Hands-on experience with insurance verification, including benefits, deductibles, coinsurance, and coverage validation.

Experience in creating and managing sales orders in Brightree.

Experience in basic or general troubleshooting.

Experience in scheduling shipments.

Experience processing and following up on prior authorizations.

Experience handling both inbound and outbound patient communications.

Experience working with CPAP supplies and respiratory equipment.

Knowledge and Skills:

Strong understanding of CPAP resupply workflows and insurance requirements.

Knowledge of CPAP supply replacement schedules and eligibility guidelines (masks, cushions, filters, tubing, headgear, water chambers, etc.).

Proficiency in Brightree and Availity; familiarity with additional payer portals is preferred.

Excellent customer service, communication, and problem-solving skills.

Ability to manage multiple tasks while maintaining accuracy and attention to detail.

Ability to work independently and take ownership of the full resupply process.

Willingness to learn and adapt to evolving processes and systems.

Preferred/Nice to Have:

Experience with Brightree, AirView, RingCentral, or similar communication platforms.

Familiarity with Medicare (and others) and commercial insurance resupply guidelines.

Experience in a high-volume CPAP resupply environment.
