We are looking for an experienced part-time executive virtual assistant for a trusted high-level talent company based in the US. Key Requirements At least 3 years of experience as an executive virtual assistant or having had similar administrative experience. Extensive experience managing calendars and schedules, including across multiple time zones. Proficient in email management, drafting professional correspondence, and handling confidential communications. Strong skills in document preparation, task tracking, and project management. Exceptional organizational and prioritization skills, with an ability to handle high-pressure situations calmly and professionally. Desirable Skills: Experience working with high-pressure industries such as law firms, investment banking, or management consulting. Familiarity with data analysis and extracting insights for client-facing projects (e.g., BSG project look-backs). Advanced knowledge of project management tools such as Asana, Trello, or Monday.com. Background in financial tasks, such as expense tracking and personal financial management. Experience in coordinating travel and event arrangements. What We Expect From You: Experience : Minimum 3+ years of experience as an Executive Virtual Assistant providing end-to-end support in Back-End and Operations processes to C-suite executives or higher management. Proven ability to work 20+ hours per week following the EST timezone. Prior experience working with CRMs and technical tools such as Google Workspace, HubSpot, Apollo, or equivalent. Skills : Exceptional written and verbal communication in English. Advanced organizational skills, with the ability to handle multiple priorities and meet deadlines consistently. Technologically proficient, with the ability to quickly learn and adapt to new tools and software. Primary Duties (Among Others): Calendar and Schedule Management Organize and maintain calendars, arrange meetings, and manage time zones to prevent conflicts. Prepare agendas and materials for meetings as required. Expense and Invoice Management Track expenses, manage receipts, and prepare expense reports for personal financial tasks. Data Analysis Extract data for projects like BSG “look-backs,” providing insights for client-related statistics. Email and Communication Handling Monitor, sort, and respond to emails on behalf of the client, including drafting responses and highlighting critical messages. Document Preparation and Organization Create, format, and organize documents, presentations, and reports to ensure professional quality. Research and Data Gathering Conduct project or meeting-related research and prepare concise summaries. Task and Project Management Track tasks, deadlines, and follow-ups while providing regular status updates. Meeting Coordination Arrange virtual meetings, manage attendee coordination, and ensure technical setups. Daily Status Updates Deliver daily summaries highlighting high-priority tasks, updates, and deadlines. Travel and Event Arrangements (as needed) Plan travel logistics and manage bookings for events or travel plans. General Administrative Support Handle ad hoc tasks such as data entry, file management, or other administrative needs. Collaboration and Client Satisfaction Foster strong relationships through timely communication, adherence to deadlines, and outstanding administrative support.
