# TECHNOLOGY, AI & SECURITY EXECUTIVE
**Part-Time | Approximately 3 hours per day | Remote / Hybrid**
## About the Role
We are looking for a hands-on **Technology, AI & Security Executive** to support the ongoing development, automation and security of our business.
This is a practical execution role. You will work directly with management to improve how the business operates through technology — building internal tools, automating workflows, maintaining our website and digital infrastructure, introducing appropriate AI solutions, and ensuring that our systems and data remain secure.
The role is suitable for someone who enjoys working across different areas of technology and is comfortable both **building new solutions and maintaining what is already in place**.
You should be able to take a business problem such as:
* “Can we automate this process?”
* “Can clients see this information through a dashboard?”
* “Can we make this workflow more efficient?”
* “Can AI help us do this faster?”
* “Is this system secure?”
* “Can these applications talk to each other?”
and independently propose and implement a sensible solution.
## Key Responsibilities
### 1. AI and Workflow Automation
Design, build and maintain workflows that reduce manual administrative work and improve operational efficiency.
This may include:
* automating repetitive internal processes;
* connecting different software and platforms through APIs, webhooks or automation tools;
* developing AI-assisted workflows for document handling, research, data extraction, internal knowledge management and administrative tasks;
* implementing tools using platforms such as **OpenAI, ChatGPT, Zapier, Make, n8n, Google Workspace or similar technologies**;
* identifying areas of the business where automation or AI can improve efficiency;
* monitoring existing automations and fixing failures or integration issues.
AI should be implemented thoughtfully, with appropriate consideration for **confidentiality, data protection and security**.
### 2. Client Dashboard and Internal Tools
Develop and maintain simple digital tools that improve the client and internal user experience.
Examples may include:
* client dashboards or portals;
* matter or project status dashboards;
* document submission and information collection forms;
* automated onboarding processes;
* internal management dashboards;
* workflow tracking systems;
* reporting tools;
* secure client-facing interfaces.
You should be comfortable working with **low-code/no-code platforms** where appropriate, but also able to use code when a more customised solution is required.
### 3. Website and Digital Infrastructure
Maintain and improve the company's website and other digital properties.
Responsibilities may include:
* updating website pages and content;
* creating new landing pages and service pages;
* improving website performance and usability;
* maintaining forms and integrations;
* implementing analytics and tracking;
* managing domains, DNS and SSL certificates;
* monitoring uptime and resolving technical issues;
* coordinating website hosting and related infrastructure.
### 4. Cybersecurity and Technology Risk
Help maintain a secure technology environment for the business.
This includes:
* reviewing and maintaining access controls and user permissions;
* implementing and monitoring multi-factor authentication;
* maintaining secure password and credential-management practices;
* reviewing third-party applications before deployment;
* monitoring endpoint and device security;
* supporting data-loss prevention and secure file-sharing practices;
* reviewing security alerts and investigating unusual activity;
* ensuring software and systems remain properly patched and updated;
* maintaining backups and recovery processes;
* helping management assess technology and cybersecurity risks.
Particular care will be required because the business handles **confidential and commercially sensitive client information**.
### 5. SaaS and Systems Administration
Support the administration and integration of the company's technology stack.
This may include platforms such as:
* Google Workspace;
* cloud storage and document-management systems;
* electronic signature platforms;
* CRM and client-management systems;
* accounting and payment platforms;
* AI platforms;
* website and hosting services;
* productivity and project-management tools;
* cybersecurity and endpoint-management systems.
You will help ensure that systems are configured appropriately, users have the correct access and unnecessary applications or permissions are removed.
### 6. Technology Projects
From time to time, lead or support technology projects such as:
* introducing a new CRM;
* implementing a client portal;
* building an internal knowledge base;
* developing AI tools or assistants;
* migrating systems;
* improving cybersecurity controls;
* integrating different business platforms;
* evaluating and deploying new software.
For each project, you should be able to assess available solutions, recommend a practical approach, implement it and document how it works.
## What We Are Looking For
We are looking for someone who is **resourceful, technically capable and comfortable figuring things out independently**.
Ideally, you will have experience in several of the following areas:
* AI tools and large language models;
* APIs and systems integration;
* workflow automation;
* Zapier, Make, n8n or similar platforms;
* Google Workspace administration;
* website development or maintenance;
* WordPress, Webflow or similar platforms;
* basic front-end development;
* Python, JavaScript or similar scripting languages;
* databases and dashboards;
* cloud services;
* cybersecurity and access management;
* endpoint and device security;
* SaaS administration.
You do not need to be a specialist in every area. More important is the ability to **understand a problem, learn quickly and implement a reliable solution**.
## Personal Attributes
You should be:
* highly organised and dependable;
* comfortable working independently;
* proactive in identifying improvements;
* security-conscious;
* careful when handling confidential information;
* able to communicate technical matters in simple business language;
* willing to document systems and processes properly;
* practical and commercially minded rather than technology for technology's sake.
## Working Arrangement
**Commitment:** Approximately **3 hours per working day**, with flexibility in how the hours are scheduled.
The role is intended to provide **ongoing technology support**, rather than project-based development only.
Some days may involve building new tools or automations; others may involve website updates, security reviews, troubleshooting or maintaining existing systems.
Urgent technology or cybersecurity issues may occasionally require attention outside the normal working schedule.
## Success in the Role
Success would mean that over time:
* more business processes are automated;
* employees spend less time on repetitive administrative work;
* clients have a smoother digital experience;
* management has better visibility through dashboards and reporting;
* the company's applications work together more effectively;
* AI is used safely and productively;
* technology systems are properly documented and maintained; and
* the business maintains a strong and proportionate cybersecurity environment.
