Project Name: Build a Microsoft Teams Search Bot ## 1. Project Overview I want to create a simple chatbot for my company's Microsoft Teams. When a staff member types an IP address or a Computer Name (Hostname) into the chat, the bot should automatically look it up in an Excel spreadsheet and reply with the details of that asset (like who owns it or its location). To keep our company data safe, I will not give the developer access to my system, and I do not want to import pre-made files. Instead, the developer will guide me over a live video call (like Zoom or Teams) while I share my screen, showing me exactly where to click on my laptop to build the bot myself. ## 2. Tools We Will Use We will use standard Microsoft tools that are already built into our company account: * Microsoft Teams (Where staff will chat with the bot) * Microsoft Copilot Studio (The tool used to make the bot) * Microsoft Power Automate (The tool that searches the Excel sheet) * Excel Online (Where the asset list is saved) [1, 2, 3] ## 3. How We Will Work Together## (ipen for discussion) Step 1: Pre-Meeting Preparation * Before our call, I will prepare a test Excel sheet on my laptop with 5 rows of completely fake computer names and fake IP addresses. * We will use this fake list to build and test the bot so no real company data is exposed. ## Step 2: Live Building Session (Via Screen-Share) * We will get on a live video call. I will share my laptop screen. * The developer will talk me through the setup step-by-step: 1. Showing me how to format my Excel sheet correctly. 2. Guiding me to create the chatbot interface inside Teams. 3. Teaching me how to connect the chatbot to the Excel sheet so it can search. 4. Showing me how to format the bot's final reply so it looks clean and neat. ## Step 3: Testing and Handover * We will type a fake IP address into the bot together to make sure it successfully pulls the correct information from our test Excel sheet. * The developer will show me how to safely swap out the fake Excel sheet for my real one after the call is over. ## 4. What the Developer Needs to Deliver * Live Guidance: Clear, step-by-step spoken instructions during our video session. No technical jargon. * A Working Bot: By the end of our call, I should have a fully functioning chatbot on my laptop that successfully searches Excel data. * Error Handling: The bot must be able to say "Sorry, that IP or Computer Name was not found" if someone types a wrong number
