I have the creative outline, daily route and overall framework locked in for a five-day “Top Gear”-style road trip across Georgia in May 2027. What I now need is a locally based, high-energy partner who can turn that paper plan into on-the-ground reality for a crew of fifteen international guests.

Your core focus will be event coordination, because that is where your strength lies, but the role inevitably touches vendor communication and practical arrangements as well. Picture yourself negotiating with 4×4 rental suppliers in Tbilisi one morning, then final-checking an outdoor gastronomic stop in Kakheti the same afternoon. The trip leans heavily on open-air experiences and adventure-sports moments, so prior work with outdoor venues and adrenaline activities will be immediately useful.

Key responsibilities
• Secure and confirm vehicles, fuel plans and backup support
• Lock down outdoor venues for daily checkpoints, meals and overnights
• Coordinate adventure-sports operators (zip-lines, off-road segments, etc.) and manage risk paperwork
• Liaise with local authorities for permits where needed
• Stay on call during the event to troubleshoot anything from weather shifts to last-minute route tweaks

Success for me means: every booking reconfirmed in writing, emergency contacts listed and reachable, and all suppliers fully briefed in both Georgian and English no later than one month before the convoy starts rolling.

Fluency in Georgian and English is essential, as is a solution-first mindset. The project is compensated on a fixed-fee basis, and if we click there is scope to repeat—and scale—this format in future years.
