Dynamics 365 Franchise Email Alerts

I need Dynamics 365 configured so that every time a franchise record is updated, an automatic email is sent to the regional managers associated with that franchise. Only email is required—no SMS or in-app pop-ups for now—so the work centres on building a reliable trigger, creating a clear mail template, and making sure the correct managers receive the alert every single time.

You are free to use native Dynamics 365 workflows, Power Automate, or a lightweight plugin; the key is that the solution remains easy to maintain after deployment. I’ll provide access to our sandbox instance along with the current entity schema and a list of regional manager contacts.

Deliverables
• A working trigger tied to the Franchise entity that fires on create / update events as defined
• One reusable email template populated with relevant franchise fields (name, ID, change summary, timestamp, link to record)
• Configuration or script that resolves the right regional manager(s) and sends the email automatically
• Step-by-step hand-off notes so our admin team can move the solution to production and adjust recipients in the future

Acceptance criteria
• Updating a franchise in the sandbox generates an email within 30 seconds
• Email lands in each test manager’s inbox with the correct data merge and no duplicates
• No impact on existing processes or performance in Dynamics 365
