This app is for a car-hire business where the app needs to handle both invoicing and staff rostering, I’d think of it less as a simple car-booking app and more as an operations management app.

Core app concept

A central dashboard that connects:

Customer → Booking → Vehicle → Driver/Staff → Job → Invoice → Payment

That way, information only needs to be entered once.

Key features I’d consider

1. Booking management

* Customer details
* Pick-up/drop-off locations
* Date & time
* Vehicle allocated
* Driver allocated
* Hire duration
* Special requests
* Booking status: Enquiry → Confirmed → In Progress → Completed → Invoiced → Paid

2. Rostering

* Calendar view of all drivers/staff
* Drag-and-drop shifts
* Assign driver to a specific booking
* Driver availability
* Leave/sick days/ Block out Dates
* Prevent double-booking
* Automatic notifications when a roster changes
* Daily/weekly roster for drivers

3. Vehicle management

* Vehicle availability
* Registration and insurance expiry dates
* Service/maintenance schedule
* Current mileage
* Fuel level
* Vehicle location/status
* Cleaning status
* Damage/inspection checklist

4. Invoicing
This could be one of the strongest parts of the app.

Automatically create an invoice from a completed booking:

* Hire fee
* Driver fee
* Extra hours
* Kilometres
* Waiting time
* Tolls
* Cleaning fees
* Damage charges
* Discounts
* GST
* Deposit
* Amount owing

Then:
Completed job → Generate invoice → Email/SMS customer → Track payment

5. Driver app
Give drivers a simplified version of the app:

* Today’s jobs
* Pick-up/drop-off details
* Customer contact
* Navigation
* Start/end job
* Digital vehicle inspection
* Upload photos
* Record kilometres
* Record fuel
* Capture customer signature
* Mark job complete

6. Automatic timesheets

This is particularly useful if drivers are paid based on hours.

For example:

Driver starts job at 7:45 AM
Arrives 8:15 AM
Passenger collected 8:30 AM
Job completed 11:40 AM

The app can automatically create the driver’s timesheet from the booking. And have the app pay the drivers as well based on payments received from that booking.

A really useful feature: profitability per job

Instead of only showing revenue, show:

Job Revenue Driver Cost Vehicle Cost Other Profit
Airport Transfer $180 $70 $25 $15 $70
Corporate Hire $650 $240 $90 $30 $290

This lets the business see which types of bookings are actually profitable.

Admin Management dashboard

The owner/manager could open the app and immediately see:

TODAY

* 18 bookings
* 12 drivers rostered
* 23 vehicles available
* $4,850 revenue
* 7 invoices outstanding
* 2 vehicles due for service
* 1 driver unavailable

And a calendar showing the day’s bookings.

Automation could make it really powerful

For example:

Booking confirmed
→ Customer receives confirmation
→ Vehicle becomes unavailable
→ Driver is notified
→ Job appears on roster

Job completed
→ Driver submits kilometres/time
→ Booking marked complete
→ Invoice automatically generated
→ Customer receives invoice

Invoice overdue
→ Automatic reminder sent
→ Manager sees it on outstanding invoices list

Vehicle service due
→ Vehicle automatically flagged
→ Manager receives notification
→ Vehicle can be blocked from future bookings

Different user types

I’d have different permissions:

Owner/Admin

* Everything
* Financial reports
* Staff management
* Settings

Operations Manager

* Bookings
* Vehicles
* Rostering
* Drivers

Accounts

* Invoices
* Payments
* Statements
* Reports

Driver

* Own roster
* Jobs
* Vehicle inspections
* Timesheets

Customer

* Bookings
* Quotes
* Invoices
* Payment history

One feature I’d especially recommend

Build a “Job Card” as the centre of the system.

Every booking gets one job card containing:

JOB #10482
Customer: ABC Corporation
Date: 12 Sept
Pick-up: Sydney Airport
Drop-off: CBD
Vehicle: Mercedes V-Class
Driver: John
Start: 8:00 AM
End: 11:30 AM
KM: 86
Tolls: $24
Hire: $450
Extras: $65
Total: $539

From that same job card, the system can handle rostering, vehicle allocation, driver timesheets, invoicing and reporting.

That would make the app much more useful to a car-hire business than having separate booking, roster and invoicing screens that don’t communicate with each other.

Later down the track have the ability for other companies to register and pay a subscription to use these features as well for their business
