Bespoke Car Rental Management Software

Project Overview

I am a car rental company looking for an experienced developer to design and build a **bespoke car rental management software system** for internal business use.

The software will be **primarily desktop-based (approximately 99.9% desktop use)**, although I would like the system to be built in a way that could potentially support a mobile/tablet app in the future. A mobile app is **not a priority for the initial project**.

The aim is to create a simple, professional and reliable system that allows me to manage my entire rental fleet, customers, bookings, rental agreements and basic financial records from one central database.

## Core Features Required

### 1. Vehicle/Fleet Management

The system should maintain a complete database of all vehicles in my fleet.

Each vehicle should have information such as:

* Registration number
* Make and model
* Year
* Vehicle type
* Colour
* Mileage
* Vehicle status
* Rental availability
* MOT/inspection information
* Insurance information
* Service/maintenance information
* Notes
* Photos/documents if required

The system should allow vehicles to be marked as:

* Available
* Reserved
* Currently rented
* Awaiting return
* Under maintenance
* Unavailable

I would also like to be able to quickly see which vehicles are currently available and which are being rented.

### 2. Customer Database

The software should contain a complete customer database.

Customer records should include information such as:

* Full name
* Address
* Telephone number
* Email
* Driving licence details
* Date of birth
* Licence expiry date
* Identification details
* Emergency/contact information
* Rental history
* Notes
* Documents/files where required

I should be able to search, edit and view customer records easily.

### 3. Rental/Booking Management

The main purpose of the software will be managing vehicle rentals.

I need to be able to:

* Create a new rental
* Select an existing customer
* Select a vehicle
* Enter rental start date/time
* Enter rental return date/time
* Enter rental price
* Record deposit
* Record additional charges
* Record discounts if applicable
* Record mileage at collection and return
* Add notes
* Change or extend rental dates
* Return a vehicle
* View current and previous rentals

The system should automatically identify whether a vehicle is already booked/rented during the selected dates and prevent double-booking.

A **calendar/scheduling view** showing vehicle availability and current bookings would be very useful.

### 4. Automatic Rental Agreement

Once a rental is created, the software should be able to **automatically generate a professional rental agreement** using the customer, vehicle and rental information already stored in the system.

For example, the agreement could automatically populate:

* Customer details
* Vehicle details
* Registration number
* Rental dates
* Rental price
* Deposit
* Mileage
* Terms and conditions
* Additional charges
* Signatures

The agreement should be downloadable/printable, ideally as a **PDF**.

If possible, I would also like the ability to edit/manage the rental agreement template and company terms without needing a developer every time.

### 5. Payments & Basic Financial Tracking

The software does not initially need to be a full accounting system.

However, it should provide basic financial tracking for rentals.

I need to be able to record:

* Rental payments
* Deposits
* Outstanding balances
* Refunds
* Additional charges
* Payment dates
* Payment method
* Notes/reference numbers

The system should automatically calculate:

**Total rental cost → Amount paid → Outstanding balance**

I would also like basic reporting showing things such as:

* Total rental income
* Outstanding payments
* Payments received
* Deposits held
* Refunds
* Income by date range
* Income by vehicle
* Income by customer

### 6. Dashboard

A simple dashboard would be very useful.

For example, when logging into the software I would like to see:

* Vehicles currently rented
* Vehicles available
* Vehicles due back today
* Upcoming rentals
* Overdue returns
* Outstanding customer balances
* Recent payments
* Basic income figures

The dashboard should make it easy to understand the current state of the rental business at a glance.

### 7. Search & Reporting

The system should have good search and filtering functionality.

I should be able to search for:

* Customers
* Vehicles
* Registrations
* Rental agreements
* Current rentals
* Previous rentals
* Payments

I would also like basic reports that can be filtered by date and exported/printed where appropriate.

## User Interface

The software should have a **clean, modern and professional desktop interface**.

Ease of use is very important. This will be used regularly by staff, so I do not want an overly complicated system.

The main priority is:

**Simple → Fast → Reliable → Easy to understand**

The system should be designed around the day-to-day workflow of a car rental company rather than being a generic database application.

## Desktop First

The initial version should be designed primarily for **Windows desktop use**.

A web-based system or desktop application can be proposed by the developer, provided it meets the requirements above.

I am open to recommendations regarding the technology/platform, but I want the system to be reliable, secure, maintainable and scalable.

A mobile application is **not essential for the first version**. However, I would prefer the underlying system/API/database to be designed so that a mobile app could be added in the future if required.

## Security & Data

The system will contain customer and business information, so security is important.

I would like:

* Secure login
* User accounts/permissions if required
* Regular database backups
* Protection against accidental data loss
* Reliable database architecture
* Ability to restore data from backups
* Audit/history of important changes where practical

## Future Development

This will initially be a core rental management system, but I would like it to be designed so additional features can be added in the future.

Potential future features could include:

* Customer online booking
* Customer portal
* Mobile app
* Online payments
* Digital signatures
* Automated email/SMS notifications
* Vehicle telematics/GPS integration
* Maintenance management
* More advanced accounting
* Multiple rental locations
* Multi-user/multi-branch functionality

These features are **not necessarily required in the initial version**, but the system should not be built in a way that makes future development unnecessarily difficult.

## What I Am Looking For

I am looking for a developer who can:

1. Understand the requirements and business workflow.
2. Recommend an appropriate technology/platform.
3. Design the database and user interface.
4. Develop the complete working software.
5. Test the system thoroughly.
6. Provide installation/deployment instructions.
7. Provide the source code and relevant project files.
8. Provide basic documentation/training on how to use the system.
9. Fix bugs identified during the agreed testing period.

I am open to suggestions from experienced developers if there are better ways of structuring any of the above requirements.
