Organization: Alonso & Alonso Attorneys at Law, PLLC Reports to: Chief Operating Officer (COO) Employment Type: Contractor (Full-Time Equivalent) Location: Remote – Colombia Job Summary The Executive Assistant to the COO (Remote Contractor) serves as a key operational and strategic partner to the Chief Operating Officer, ensuring smooth coordination, communication, and execution of high-level initiatives across the firm. This role requires a licensed Colombian attorney with exceptional organizational, analytical, and administrative skills who can operate effectively in a virtual, fast-paced, and confidential environment. The position combines legal and operational awareness with executive-level administrative excellence — supporting the COO in managing cross-departmental priorities, ensuring timely follow-through, and upholding professional and cultural alignment across teams. The ideal candidate is detail-oriented, proactive, and adaptable, capable of translating direction into execution with minimal supervision while maintaining discretion and professionalism in all matters. Essential Responsibilities and Duties Executive Support & Coordination Manage the COO’s daily schedule, virtual meetings, and communications across U.S. and LATAM time zones. Serve as the virtual liaison between the COO, firm leadership, and key stakeholders. Draft, review, and organize correspondence, meeting agendas, and confidential briefings. Track and follow up on critical action items to ensure accountability and timely completion. Maintain strict confidentiality in all executive communications and business matters. Operational & Project Management Support the COO in monitoring and executing firm-wide operational initiatives. Prepare reports, presentations, and strategic documentation to support decision-making. Track key performance indicators (KPIs) and provide progress updates to the COO. Collaborate with internal teams to streamline virtual workflows and improve operational efficiency. Legal & Administrative Insight Apply legal knowledge to assist the COO with compliance-related documentation and procedural oversight. Ensure all deliverables and communications align with professional legal and ethical standards. Support international coordination between Colombian and U.S.-based operational requirements. Communication & Stakeholder Relations Draft professional communications on behalf of the COO for internal and external audiences. Facilitate clear, timely, and consistent communication across executive, legal, and operations teams. Maintain rapport with partners, department heads, and vendors, ensuring alignment and professionalism. Administrative Excellence & Reporting Organize and maintain secure digital filing systems for executive and operational documentation. Manage expense reports, invoicing, and vendor communications as delegated by the COO. Anticipate needs, identify gaps, and propose process improvements to optimize executive efficiency. Required Qualifications Education & Experience Licensed attorney in Colombia (required). Bachelor’s degree in Law; postgraduate studies in Business Administration, Management, or related field preferred. Minimum 3–5 years of experience supporting senior executives or working within legal, consulting, or professional services environments. Proven experience operating effectively in a remote, cross-border setting with international teams. Core Skills & Competencies Exceptional organizational, prioritization, and time management skills. Advanced written and verbal communication abilities in English and Spanish (required). High level of discretion, integrity, and professionalism in managing sensitive information. Strong command of productivity tools: Microsoft Office Suite, Google Workspace, RingCentral and project management software (e.g Monday.com). Strategic thinker with attention to operational detail and efficiency. Demonstrated ability to anticipate executive needs and act proactively.
