# Zoho CRM, Books & Inventory – System Audit, Inventory Reconciliation & Process Optimisation
**Project Type:** Fixed-price project with milestone-based payments
**Experience Required:** Expert – Zoho Inventory, Zoho Books and Zoho CRM
**Business Location:** Australia (remote freelancers welcome)
**Project Duration:** Ideally 3–4 weeks
**Budget:** AUD $1,500–$3,000 (negotiable based on demonstrated experience and scope)
## Project Overview
We are an Australian importing, distribution and light-assembly business seeking an experienced Zoho specialist to audit, troubleshoot, correct and optimise our existing Zoho environment.
We currently use Zoho CRM, Zoho Books and Zoho Inventory to manage sales, purchasing, inventory, invoicing and stock movements.
Unfortunately, we have experienced ongoing issues with inventory accuracy, discrepancies between physical stock and recorded quantities, incorrectly configured inventory items, outstanding purchasing transactions and inconsistencies in our operational workflows.
We require a freelancer who can identify the underlying causes of these problems, implement appropriate corrections and establish reliable processes that prevent the issues from recurring.
**This is not a new Zoho implementation. It is an audit, corrective action and optimisation project within an existing operational Zoho environment.**
Our objective is to achieve a reliable, accurate and manageable system that our team can confidently use without ongoing intervention from external consultants.
## Scope of Works
### Phase 1 – System Audit and Root-Cause Analysis
Conduct a detailed review of our existing Zoho environment, including:
- Zoho Inventory settings, configurations and transaction history.
- Integration and data synchronisation between Zoho CRM, Books and Inventory.
- Existing inventory item classifications and master records.
- Current physical stock quantities versus recorded stock balances.
- Negative inventory quantities and historical discrepancies.
- Outstanding, incomplete or incorrectly processed purchase orders.
- Purchasing, receiving, sales order and dispatch workflows.
- Assembly and composite product configurations.
- Existing stock transfers and warehouse processes.
- Freight, landed-cost and inventory valuation workflows.
**Required deliverable:**
A written audit report identifying the root causes of the discrepancies, configuration problems, recommended corrective actions and any relevant Zoho limitations.
The report should include a prioritised action plan before implementation begins.
### Phase 2 – Inventory Reconciliation and Corrections
Review and correct agreed inventory discrepancies to establish an accurate starting position.
Tasks include:
- Reconcile agreed inventory items against verified physical stock records.
- Investigate and correct negative stock balances.
- Review and resolve outstanding or incorrectly processed purchase orders.
- Identify and correct duplicate, obsolete or incorrectly configured inventory items.
- Correct relevant inventory transactions where appropriate.
- Ensure stock adjustments are accurately documented.
- Verify resulting stock quantities against agreed physical inventory records.
**Required deliverable:**
An updated Zoho Inventory environment with agreed corrections completed, verified stock balances and a documented list of any outstanding exceptions.
### Phase 3 – Purchasing, Assembly and Inventory Process Optimisation
We operate with a mixture of imported finished goods, locally manufactured products, imported components and products assembled locally.
We require Zoho to manage these different product categories accurately.
Review and optimise the following:
**Purchasing and goods receipting**
- Purchase order creation and management.
- Supplier invoice and goods receipt processes.
- Partial receipts and outstanding orders.
- Imported products and changing supplier purchase prices.
**Product assembly**
- Composite and assembled item configurations.
- Component inventory deductions.
- Finished product stock movements.
- Purchasing and assembly workflows.
**Freight and landed costs**
- Allocation and recording of freight and associated import costs.
- Foreign currency purchasing considerations.
- Inventory cost and valuation accuracy.
**Warehouse and stock management**
- Stock transfers and adjustments.
- Sales order allocation and dispatch processes.
- Appropriate transaction completion procedures.
- Prevention of recurring inventory discrepancies.
**Required deliverable:**
Correctly configured and tested workflows that accurately reflect our operational processes and inventory movements.
### Phase 4 – Zoho Integration Review
Review the integration between:
- Zoho CRM
- Zoho Books
- Zoho Inventory
Identify and resolve agreed integration or configuration issues affecting purchasing, stock records, sales orders, invoicing and inventory transactions.
The objective is to ensure that relevant data is accurately transferred and maintained across the applications.
This is not intended to be a complete CRM redesign or a new system implementation.
**Required deliverable:**
Successful testing of representative end-to-end business transactions, with any remaining integration limitations documented.
### Phase 5 – Testing, Documentation and Training
Once corrections and configurations have been completed, conduct practical testing using real business scenarios.
Testing should include:
- Creating purchase orders and receiving stock.
- Recording supplier invoices and relevant costs.
- Completing product assembly transactions.
- Confirming component deductions and finished product quantities.
- Creating and processing sales orders.
- Completing inventory dispatch and stock movements.
- Verifying inventory quantities and relevant financial records.
We also require written standard operating procedures (SOPs) for the relevant workflows.
Provide remote training for our management team to ensure we understand how to operate and maintain the corrected system.
**Required deliverables:**
- Completed functional testing.
- Written operating procedures.
- Remote staff training session.
- Final project completion report.
- Documented unresolved issues and recommendations.
## Project Milestones
We propose the following milestones, with payment released following satisfactory completion of each stage.
**Milestone 1 – System Audit and Findings (20%)**
Complete system review and provide a written root-cause analysis with a recommended correction plan.
**Milestone 2 – Inventory Reconciliation (30%)**
Complete agreed stock corrections, purchasing transaction resolutions and inventory master-data improvements.
**Milestone 3 – Process and Integration Optimisation (30%)**
Implement and test agreed purchasing, assembly, freight, warehouse and integration improvements.
**Milestone 4 – Verification, Documentation and Handover (20%)**
Complete testing, written SOPs, training and final project handover.
## Project Completion Expectations
This is a deliverables-based project.
We are specifically looking for a freelancer who is willing to take responsibility for satisfactorily completing an agreed scope of work rather than simply billing for time spent investigating issues.
We recognise that some historical discrepancies may be unresolvable due to missing records or software limitations. These should be identified and documented during the project.
However, all agreed and technically achievable corrective actions must be completed and tested before final project sign-off.
Any additional work outside the agreed scope must be discussed and approved before commencement.
## Required Freelancer Experience
Applicants should demonstrate:
- Extensive experience with Zoho Inventory, Books and CRM.
- Proven experience troubleshooting existing Zoho implementations.
- Strong knowledge of inventory reconciliation and stock management.
- Experience with composite items, product assemblies and component inventory.
- Familiarity with importing, wholesale distribution and landed-cost processes.
- Knowledge of Zoho integrations, workflows and automation.
- Ability to produce practical written documentation.
- Strong English communication skills.
- Previous experience working with Australian businesses is preferred but not essential.
We are looking for a hands-on technical specialist who can personally investigate and resolve problems rather than a project manager coordinating a large consulting team.
## How to Apply
Please include the following in your proposal:
1. Your experience with Zoho Inventory, Books and CRM.
2. Examples of similar inventory reconciliation or system correction projects you have completed.
3. Your experience with composite items, imported products and stock valuation.
4. Your proposed approach to identifying the root causes of our issues.
5. Your estimated fixed project price in Australian dollars.
6. Your expected project completion timeframe.
7. Confirmation that you are comfortable working to agreed milestones and measurable deliverables.
8. Details of any post-implementation support you provide.
Please begin your proposal with the words "Zoho Inventory Specialist" so we know you have read the requirements.
We are looking to engage the right person promptly and would welcome proposals from experienced independent specialists who can deliver practical results at a competitive price.
