PositionOverview
We areseeking a highly organised and detail-oriented Virtual Assistant to theAccountant to provide administrative and bookkeeping support to our newlyappointed in-house Accountant.
This role is not responsible for the overall management of the accountingfunction. Instead, the successful candidate will assist the Accountant withprocessing transactions, maintaining records, preparing reports, and completingcompliance-related tasks across a diverse group of entities, including:
Electrical contracting businesses
Cabinetry and joinery businesses
Property investment entities
Property development entities
Other related trading and investment structures
Theideal candidate will have strong bookkeeping skills, experience with Australianaccounting requirements, and the ability to work accurately across multipleentities.
KeyResponsibilities:
BookkeepingSupport
Enter supplier bills, invoices, and receipts into the accounting system.
Assist with accounts payable and accounts receivable processing.
Perform bank, credit card, and loan reconciliations.
Maintain supporting schedules and reconcile balance sheet accounts.
Process and reconcile intercompany transactions.
Assist with maintaining fixed asset registers.
ComplianceAssistance
Prepare draft Business Activity Statements (BAS) and Instalment Activity Statements (IAS) for review by the Accountant.
Reconcile GST, PAYG withholding, and superannuation accounts.
Compile supporting documentation for tax and compliance lodgements.
ReportingSupport
Assist with preparation of monthly management reports, including:
Profit & Loss Statements
Balance Sheets
Cash Flow Reports
Budget vs Actual Reports
Prepare schedules and working papers for the Accountant’s review.
Assist with variance analysis and reporting.
Budgeting& Forecasting Assistance
Update budget templates with actual results.
Maintain cash flow forecast spreadsheets.
Assist with project feasibility and development cost tracking.
AdministrativeSupport
Maintain organised digital filing systems for financial records.
Monitor finance inboxes and collate information requests.
Prepare payment runs for approval.
Assist with document collection for auditors, bankers, and external accountants.
Help document accounting procedures and internal processes.
Property& Development Support
Enter and categorise project-related expenses.
Assist with job costing and tracking development expenditures.
Reconcile loan drawdowns and interest schedules.
RequiredSkills & Experience
Essential
2+ years’ experience in bookkeeping, accounting support, or finance administration.
Strong understanding of Australian GST and BAS requirements.
Experience using Xero.
Proficiency in Microsoft Excel and/or Google Sheets.
High attention to detail and accuracy.
Strong organisational and time management skills.
Ability to follow instructions and work collaboratively with the Accountant.
Excellent written and verbal English communication skills.
Desirable
Experience in construction, trades, or property-related businesses.
Familiarity with intercompany accounting.
Exposure to budgeting and management reporting.
Accounting or bookkeeping qualifications.
