Virtual Assistant – Document Design & Editing | Long-Term

We're looking for someone who takes genuine pride in the final product and doesn't need to be reminded to fix the little things.

We’re looking for a creative, extremely detail-oriented Virtual Assistant to become our go-to person for anything document, presentation, template, or business-design related within our firm.

Please note: This is not a position where we have a large amount of work waiting for you immediately. We are looking to build a long-term relationship with someone we can consistently turn to as projects come up.

You can generally expect approximately 2–6 tasks per week. Some tasks may take only 15–30 minutes, while others may take a few hours. The workload will vary from week to week, and there are no guaranteed weekly hours.

What You'll Help Us With
Our needs vary considerably. One day we may need a letter cleaned up, and another day we may need an entire PowerPoint presentation or branded form created.

Projects may include:
Microsoft Word document creation, editing, and formatting
Professional letters and letterhead
Policies, procedures, manuals, and reports
Beautiful, stylized business forms
Fillable PDF forms
Applications, intake forms, checklists, and worksheets
PDF editing and formatting
Excel spreadsheets, trackers, logs, and templates
PowerPoint presentations and training materials
Branded PowerPoint templates
AI-generated flyers and marketing materials
Social media and business graphics
AI-generated images for business use
Email templates and reusable business communications
Email signatures
Branded business templates
Redesigning older or poorly formatted documents
General document cleanup and quality control
Other document/design-related projects as needed

The Quality We're Looking For

We want someone who notices when a font doesn't fit the design, spacing is inconsistent, a table is slightly misaligned, a logo isn't positioned correctly, or a document simply doesn't look polished.

Our expectation is:

You should have a strong understanding of:
Typography and elegant font combinations
Alignment and spacing
White space
Page layout
Visual hierarchy
Branding consistency
Professional business design
Attention to small details
You should be able to take a plain or messy document and turn it into something that looks premium and professionally produced.
Tools & Skills
Experience with several of the following is preferred:
Microsoft Word • Excel • PowerPoint • Adobe Acrobat/PDF • Canva • AI image-generation/design tools
You don't need to know every program, but you should be very comfortable with technology and AI and able to figure things out independently.

Workload & Pay

This is a freelance, as-needed position — not a guaranteed-hours position.
Typical workload: 2–6 tasks per week
Some weeks may be busier than others. We are much more interested in finding the right person for the long term than immediately filling someone's schedule with hours.But can lead to full time depending on your other skills and perfomance on rasks given.

We also need someone who is reasonably responsive when a project is assigned and communicates clearly about when it can be completed.
