Stock Audit Management System Development

PROJECT REQUIREMENT: KENBIRD Dealer, Distributor & Stock Audit Management System

Project Type: Custom Web-Based Inventory & Stock Audit Management System

I am looking for an experienced developer to develop a centralized, mobile-friendly Stock Management and Stock Audit System with four separate role-based panels.

1. User Roles & Panels

A. Super Admin Panel

- Create, edit, activate and deactivate Distributor, Dealer and Auditor accounts.
- Manage all users and their access permissions.
- Add, edit and manage products and unique serial numbers.
- Import product serial numbers in bulk using Excel.
- Transfer stock directly to Dealers or through Distributors.
- View stock available with each Dealer and Distributor.
- Assign Auditors to Dealers and Distributors.
- Monitor sales, defective products, returns and stock discrepancies.
- Approve stock movements, sales and returns wherever required.
- Track complete stock movement and audit history.
- Generate Dealer-wise, Distributor-wise and Auditor-wise reports.
- Export stock, sales, returns and audit reports to Excel.

B. Distributor Panel

- View stock received from Admin.
- View available, sold, transferred, defective and returned stock.
- Create and manage Dealers under the Distributor.
- Transfer stock to authorized Dealers.
- View Dealer-wise inventory and serial number details.
- Track sales and returned products.
- Receive defective stock from Dealers and forward it to Admin.
- View relevant audit reports and stock movement history.
- Access only their own inventory and associated Dealers.

C. Dealer Panel

- Secure individual Dealer login.
- View stock received directly from Admin or through a Distributor.
- View available inventory and individual serial numbers.
- Search and track products by serial number.
- Mark individual products as sold.
- Record defective products and raise return requests.
- View sold, defective, returned and available stock.
- View stock transaction history and previous audit results.
- Access only inventory assigned to their account.

D. Auditor Panel

- Secure Auditor login with a mobile-friendly interface.
- View assigned Dealers and Distributors.
- Start and complete physical stock audits.
- Scan products using mobile camera barcode/QR scanning or a supported external scanner.
- Optionally upload photographs of stock during auditing.
- Compare scanned stock with expected inventory.
- Detect duplicate scans, missing products and unexpected serial numbers.
- View recorded sales and returned products.
- Record audit observations and stock discrepancies.
- Submit completed audit reports.
- Generate and download an audit challan/report containing scanned quantities, serial numbers, audit details and discrepancies.
- Share audit results with Admin and the concerned Distributor.
- View previous audit records.
- Prevent Auditors from modifying original stock transfer history.

2. Product & Serial Number Management

- Product name, SKU, category and basic product details.
- Unique serial number for every physical product.
- Manual serial number entry.
- Bulk Excel import of serial numbers.
- Duplicate serial number validation.
- Product-wise and serial number-wise inventory tracking.
- Complete product movement history.
- Prevent the same serial number from being assigned to multiple locations simultaneously.

3. Inventory Transfer Management

The system must support both stock transfer structures:

- Admin → Distributor → Dealer
- Admin → Dealer (Direct Transfer)

Features:

- Create stock transfer records.
- Select products and individual serial numbers.
- Record stock allocation and receipt confirmation.
- Automatically update inventory after confirmed stock movements.
- Maintain a complete transfer history.
- Prevent unauthorized or duplicate stock transfers.

4. Dealer Stock & Sales Management

- Track every Dealer's inventory by serial number.
- Record individual products as sold.
- Maintain available and sold stock quantities.
- Record defective products and return requests.
- Update stock automatically after authorized sales and completed returns.
- Maintain traceable records of all transactions.

5. Serial Number-Based Stock Auditing

- Create and assign audits to Dealers or Distributors.
- Scan each available product during a physical audit.
- Compare scanned serial numbers against expected inventory.
- Identify missing, duplicate and unexpected serial numbers.
- Calculate expected stock, physically scanned stock and unexplained shortages.
- Record explanations for discrepancies, including sales, damage and returns.
- Submit audit results for review and approval.
- Maintain historical audit records.
- Ensure stock corrections follow authorized approval workflows.

Example: If a Dealer has 100 units, 10 confirmed sales and 10 completed returns, the system should calculate expected available stock according to the recorded stock movements and compare it with the physically scanned quantity.

6. Defective Stock & Return Management

Return workflow:

Dealer → Distributor → Admin

Features:

- Dealer selects the defective product using its serial number.
- Dealer records the defect reason and submits a return request.
- Distributor reviews and receives the returned product.
- Distributor forwards defective stock to Admin.
- Admin confirms receipt.
- The system updates product status and inventory at each authorized stage.
- Maintain the complete return history.
- Support direct Dealer-to-Admin returns for stock originally allocated directly by Admin.

7. Dashboard, Reports & Audit History

The Admin dashboard should display:

- Total, active and inactive Distributors, Dealers and Auditors.
- Total product inventory.
- Distributor-wise and Dealer-wise stock.
- Total sold products.
- Defective and returned products.
- Pending stock discrepancies.
- Completed and pending audits.

Reports should include:

- Distributor-wise stock report.
- Dealer-wise stock report.
- Product-wise inventory report.
- Serial number tracking report.
- Sold stock report.
- Defective stock report.
- Stock return report.
- Auditor activity report.
- Stock discrepancy report.
- Complete stock movement report.

Reports should support filters by date range, Distributor, Dealer, product, serial number and stock status, where applicable.

Excel export functionality is required.

8. Technical Requirements

- Responsive web-based application.
- Separate Admin, Distributor, Dealer and Auditor panels.
- Role-based authentication and access permissions.
- Mobile-friendly Auditor dashboard.
- Barcode/QR scanning through supported mobile browsers and devices.
- Compatibility with supported external barcode scanners.
- Optional stock photograph uploads during audits.
- Secure backend APIs and centralized database.
- Input validation and inventory consistency checks.
- Search and advanced filters.
- Stock movement logs and audit activity logs.
- Functional testing and deployment.

A separate native Android or iOS application is not required for the initial version. The Auditor Panel should operate through supported mobile web browsers.
