AI Chatbot Developer for Odoo & Frappe ERP – Live Database Assistant

Project Overview

We are an ERP service provider and a certified Odoo and Frappe partner. We are looking for an experienced AI/LLM developer to build an intelligent, real-time chatbot that integrates with our ERP systems and helps users navigate, configure, query, and retrieve information directly from the ERP.

The goal is to create an AI-powered ERP assistant that understands natural-language questions and provides accurate, contextual answers based on our ERP configuration, documentation, and live database records.

Instead of manually navigating multiple menus or searching through reports, users should be able to ask questions in plain English and receive step-by-step guidance or actual business data.

Key Requirements & Features

1. Intelligent ERP Navigation Assistant

The chatbot should help users find features, modules, and settings within Odoo and Frappe/ERPNext.

Example:

- User: "Where can I access my Chart of Accounts?"
- Chatbot: Provides the navigation path and guides the user step by step to the correct screen.

2. ERP Configuration Assistant

The chatbot should guide users through configuring ERP modules, workflows, permissions, settings, and business processes.

Example:

- User: "How do I configure automatic payment reminders?"
- Chatbot: Explains the configuration process, required settings, and relevant dependencies based on the ERP version and installed modules.

Where possible, the assistant should provide context-aware guidance based on the user's installed ERP modules and configuration.

3. Live Database Query & Reporting

The chatbot must retrieve real-time business information from the connected ERP database and answer natural-language questions.

Example queries:

- "How many sales orders were created today?"
- "Show me today's sales order numbers, customers, dates, and amounts."
- "What is our total sales value this month?"
- "Show all outstanding customer invoices."
- "Which products generated the highest sales this week?"
- "List purchase orders pending approval."

The chatbot should return structured results, including relevant record IDs, dates, amounts, statuses, and totals, with support for tables and summaries where appropriate.

Important: Reporting responses must be based on actual ERP data, not AI-generated assumptions. Date ranges, currencies, permissions, and calculations must be handled correctly.

4. Conversational Follow-Ups

The chatbot should maintain conversational context so users can ask follow-up questions without repeating the entire query.

Example:

- User: "Show today's sales orders."
- Chatbot: Displays the sales orders.
- User: "Which of these are still pending?"
- Chatbot: Filters the previously retrieved results and displays pending orders.

5. Live ERP Integration

The solution should integrate with Odoo and Frappe/ERPNext using appropriate APIs, supported database access methods, and framework-specific integrations.

Requirements include:

- Secure authentication and authorization.
- Access to relevant ERP modules and records.
- Real-time or near-real-time data retrieval.
- Support for multiple companies or tenants, where applicable.
- A modular architecture that can support additional ERP modules and features over time.

6. AI-Powered Knowledge Base

The chatbot should use relevant ERP documentation, internal SOPs, configuration guides, and company-specific knowledge to answer questions accurately.

It should distinguish between:

- General ERP guidance.
- Company-specific configuration instructions.
- Answers requiring live database queries.

Where possible, responses should include references to relevant documentation or direct links to ERP screens.

7. Security & Permissions

Security is a critical requirement because the chatbot will work with sensitive business information.

The solution must:

- Respect existing ERP user roles and permissions.
- Prevent unauthorized access to financial, customer, employee, and other restricted records.
- Use secure API access and credential management.
- Prevent unauthorized database modifications through natural-language prompts.
- Maintain appropriate logs for queries and actions.

Any write operations, such as creating or modifying records, should require explicit authorization and confirmation. The initial implementation can focus on read-only reporting and guided configuration.

Preferred Technical Expertise

We are looking for freelancers with experience in:

- Odoo development, ORM, and APIs.
- Frappe Framework and ERPNext.
- Python and backend development.
- REST APIs, webhooks, and database integration.
- Large Language Models (LLMs) and AI chatbot development.
- Tool/function calling and natural-language-to-query systems.
- Retrieval-Augmented Generation (RAG) and knowledge-base integration.
- SQL and database security.
- Authentication, RBAC, and multi-tenant architecture.
- Chat interfaces and conversational UX.

Experience with OpenAI APIs or other suitable LLM providers is preferred.

1. A working AI chatbot integrated with the agreed ERP platform(s).

Project Scope & Engagement

We prefer to begin with a proof of concept covering a limited set of ERP modules and reporting use cases, validate the accuracy and security, and then expand the assistant incrementally.
