Project: ASA Consultancy – Student Admission CRM
Act as a senior full-stack developer, SaaS architect, UI/UX designer and CRM specialist. ASA Consultancy is a student admission consultancy receiving ~200 leads/day; 3 interns call leads, record remarks, follow up and convert students. Build a fully working web CRM (not a static UI/prototype) with database storage, auth, lead management, follow-ups, reporting and role-based access.
1. STACK
Next.js + TypeScript, Tailwind + shadcn/ui, Supabase (PostgreSQL, Auth), Recharts, Lucide, Vercel. Clean architecture, reusable components, proper validation, secure DB policies.
2. ROLES
Admin (owner) – full control: bulk upload leads (CSV/Excel); auto-distribute among interns; manual assign/reassign; view all records, intern performance, call activity, follow-ups, conversions, analytics; export reports; manage users; edit/delete with audit logs; configure statuses and targets.
Intern – individual login: view only assigned leads; call from own phone; update status, interest and admission progress; add remarks; schedule follow-ups; view own targets/performance. No access to other interns' leads or admin analytics.
3. LEAD TABLE
Fields: auto Student ID, Name, Phone, WhatsApp, Email, City, State, Course, College, Admission Year, Lead Source, Assigned Intern, Created Date, Lead Status, Interest Level, Last Call Date, Next Follow-up, Total Call Attempts, Latest Remark, Admission/Application/Documents/Fees Status.
Searchable, filterable, sortable, paginated. Quick filters: Today's Leads, My Leads, Uncalled, Interested, Follow-ups Today, Overdue, Not Reachable, Converted, Lost.
4. STATUSES (admin-customizable)
New Lead, Call Pending, Called – No Answer, Not Reachable, Call Back Requested, Interested, Not Interested, Follow-up Required, Application Started, Application Submitted, Admission Confirmed, Converted, Lost Lead. Each lead keeps full call history, not one remarks field.
5. CALL LOGGING
Per call: date/time, intern, outcome, remark, interest level, follow-up date/time, duration (optional), next action. Quick-log UI: update a lead in under 30 seconds. Never overwrite remarks; each call is a separate DB record.
6. BULK UPLOAD
CSV/Excel; preview; column mapping; validate phones and required fields; detect duplicate phones and show separately with skip/update/import options; summary (total, imported, duplicates, invalid); equal distribution (200 leads / 3 interns → 67/67/66), fair and configurable; manual assignment; source tag per batch.
7. ADMIN DASHBOARD
KPIs: Total Leads, Leads Today, Calls Today, Leads Contacted, Interested, Follow-ups Due Today, Overdue, Applications Started/Submitted, Admissions Confirmed, Conversions, Conversion Rate.
Charts (real data only): Leads vs Calls by Day, Intern Comparison, Status Distribution, Conversion Funnel, Lead Source Performance, Daily Conversion Trend, Follow-up Completion Rate.
Date filters: Today, Yesterday, Last 7/30 Days, This Month, Custom.
8. INTERN PERFORMANCE (key feature)
Comparison table + individual cards tracking: leads assigned, leads called, unique students contacted, total attempts, calls today/this week, interested generated, applications started, conversions, follow-ups completed/pending/overdue, avg attempts per lead, contact rate, conversion rate, follow-up completion rate. Periods: Today, Week, Month, Custom. Rank by configurable metrics, not raw calls. Separate call activity, engagement, qualified leads and actual conversions. Repeat calls to one student ≠ multiple unique contacts.
9. FOLLOW-UPS
Today, upcoming, overdue (highlighted), calendar, priority leads, reminder notifications, completion tracking. Each has: student, intern, due date/time, reason, priority, status, completion remark. Ensure interested students are never forgotten.
10. PIPELINE
Kanban: New Lead → Contacted → Interested → Application Started → Application Submitted → Admission Confirmed → Converted, plus Not Interested and Lost columns. Show counts per stage; track each student's movement.
11. PRIORITY
Hot/Warm/Cold set by interns. Prioritize immediate-admission, callback requests, near deadlines, started applications, pending documents/fees. Show hot leads prominently.
12. REPORTS & EXPORT
Daily Calling, Intern Performance, Admission Conversion, Lead Source, Follow-up, Monthly Business. Export filtered reports to CSV/Excel. Admin must see: leads uploaded today, assigned per intern, calls per intern, students who answered, showed interest, converted, top-conversion intern, uncontacted leads, overdue follow-ups.
13. EXTRA FEATURES
A. Assignment: equal/manual/reassign; track assigner and history; prevent duplicate assignments.
B. Timeline per student: created, assigned, calls, remarks, status changes, follow-ups, application started, admission confirmed, converted.
C. Duplicates: phone is primary key for detection; show existing record before creating.
D. Daily targets per intern (calls, contacts, follow-ups) with progress bars.
E. Lead aging: time uncalled, interested, pending application, pending admission.
F. Global search: name, phone, email, Student ID.
G. Security: secure auth, RBAC, Supabase RLS (interns see only assigned leads; admin full), protect PII, audit logs, no DB secrets in frontend.
H. Privacy: consent tracking, Do Not Contact flag, restricted sensitive fields, secure deletion/retention controls, minimal data collection.
14. UI/UX
Premium SaaS feel: clean dashboard, professional typography, sidebar, responsive, desktop-first for calling, mobile-friendly intern view, light/dark mode, minimal clutter, fast tables, clear badges, attractive charts, toasts, confirm dialogs for destructive actions.
Nav: Dashboard, Leads, My Leads, Follow-ups, Pipeline, Intern Performance, Reports, Import Leads, Team, Settings.
15. DATABASE
Normalized tables: profiles, leads, lead_assignments, call_logs, followups, lead_status_history, admission_records, import_batches, import_errors, daily_targets, audit_logs. Use FKs, indexes, unique constraints, timestamps, migrations, RLS. Don't store all activity in one table.
16. BUSINESS RULES
- Many call logs and follow-ups per student.
- Every lead has an intern or explicit unassigned state.
- Unique contacts ≠ total calls.
- Old remarks always accessible; leads never disappear on status change.
- Reassignment preserves call history.
- Follow-ups tied to the responsible intern.
- Admission Confirmed and Converted are distinct; no double-counting conversions.
- All reporting uses Asia/Kolkata timezone and consistent date ranges.
- Conversion Rate = Converted ÷ Total Assigned × 100. Optional Qualified Rate = Converted ÷ Interested × 100. Explain metric definitions in the UI.
17. PROCESS (no giant incomplete code dump)
Phase 1: architecture, schema, auth, roles, basic dashboard.
Phase 2: upload, allocation, lead table, lead details.
Phase 3: call logging, follow-ups, timeline.
Phase 4: intern performance, pipeline, analytics.
Phase 5: reports, export, security testing, deployment.
Each phase: build functional features, test, fix bugs, verify DB integration, no fake analytics.
18. DELIVERABLES
Complete source, schema + migrations, Supabase setup guide, .env template, demo data (3 interns + sample students), admin and intern account setup, deployment guide, README, polished functional dashboard.
Start by explaining the architecture and creating the project structure, then implement step by step. If unclear, make sensible business assumptions and document them. Prioritize reliability, usability, data accuracy and security over complexity. It must be genuinely usable in daily operations.
