Job Summary:
We are seeking a highly organized and proactive Remote Operations and Administrative Coordinator to support and coordinate daily transportation operations. This role will oversee driver recruitment, scheduling, route coordination, attendance and performance tracking, customer and parent communications, and operational follow-up. The position will also support payroll, invoicing, collections, data entry, vehicle maintenance coordination, and daily administrative tasks. The ideal candidate is comfortable working with QuickBooks, Asana, Monday.com, CRM, tracking, scheduling, and other business software, while managing multiple priorities and ensuring daily operations run efficiently. The successful candidate will be a dependable, detail-oriented, and resourceful professional with strong communication and problem-solving skills.
Key Responsibilities:
Recruit, onboard, and manage drivers.
Schedule and coordinate driver routes, including afternoon and evening runs.
Monitor driver attendance, punctuality, route progress, and phone usage.
Manage driver tracking and camera-monitoring systems, including phone-use alerts.
Handle calls and inquiries from parents, customers, and drivers.
Coordinate driver updates, schedule changes, replacements, and operational communications.
Follow up with mechanics on vehicle repairs and maintenance.
Enter and maintain driver, customer, address, and route information in company software.
Prepare and process payroll accurately and on time.
Prepare invoices and manage collections and payment follow-ups.
Resolve customer and parent concerns related to transportation services.
Maintain accurate operational records and ensure daily transportation activities run smoothly.
Perform other duties related to the position as assigned.
Qualifications & Requirements:
Proficient level of English (written and spoken).
Excellent communication, collaboration, and email correspondence skills.
Experience in Administrative Support, Operations, or Customer Service-related roles.
Experience using Asana, Monday.com, or similar project management platforms.
Familiarity with CRM, tracking, scheduling, or similar business software.
Familiarity with QuickBooks for basic financial and administrative functions – preferred.
Experience with payroll, invoicing, collections, and/or administrative tasks – preferred.
Strong organizational, problem-solving, and follow-up skills.
Ability to manage multiple priorities in a fast-paced and deadline-driven environment.
Self-motivated with the ability to work independently and follow established processes.
Quick learner with the ability to adapt to new systems and workflows.
Professional, dependable, coachable, and accountable with excellent attendance.
Creative, resourceful, and proactive with an out-of-the-box mindset.
Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).
Availability to work 6:30 AM - 2:30 PM Eastern Time (New York).
