Job Title: Remote IT Operations & Scheduling Administrator
About IT Hero
IT Hero is an Australian IT services company coordinating field technicians, onsite service calls, equipment deliveries and technology projects across Australia.
We are looking for a reliable, organised and proactive administrator to support our daily field-service operations. This is a full-time, long-term contractor position working during Australian business hours.
Working Hours and Rate
Monday to Friday
8:00am to 5:00pm Australian Eastern Time
One-hour unpaid meal break
Eight paid hours per day
35 paid hours per week
AUD $6.00 per hour
AUD $48.00 per day / AUD $240.00 per week
You must be online, available and responsive throughout the agreed working hours - cannot work at any other job whilst working here.
Key Responsibilities
Schedule onsite IT service appointments across Australia.
Coordinate suitable dates and times with our IT technicians, clients and sites.
Contact IT technicians through WhatsApp messages and phone calls to confirm availability, attendance times and job requirements.
Follow up with technicians before, during and after scheduled jobs.
Monitor email, Microsoft Teams, Slack and other communication channels for incoming work requests.
Assign suitable technicians based on their location, skills and availability.
Manage schedules across Australian states and time zones.
Provide technicians with work orders, site information, scopes of work, safety documents and other job instructions.
Update job trackers, spreadsheets and internal systems with accurate notes, dates, times and status changes.
Follow up on late arrivals, scheduling changes, access issues and incomplete jobs.
Coordinate equipment deliveries, courier bookings, tracking and returns when required.
Check that job reports, photos and supporting documents have been received before closing jobs.
Assist with quotes, invoices, subcontractor records and general administration.
Escalate delays, technician issues or other risks to management promptly.
Help keep our operational procedures and records accurate and up to date.
Phone Calls
You must be comfortable making and receiving phone calls using WhatsApp.
This is not a cold-calling, telemarketing or sales position. Calls will mainly be made to our existing IT technicians and team members to coordinate onsite appointments, confirm availability, provide updates and resolve scheduling issues. Occasional coordination calls with sites or clients may also be required.
Essential Requirements
Previous experience in scheduling, dispatch, administration, operations or appointment coordination.
Strong spoken and written English.
Confident and professional phone manner.
Comfortable calling IT technicians through WhatsApp.
Reliable internet connection, computer and a quiet working environment.
Able to work the complete 8:00am–5:00pm Australian Eastern Time shift.
Excellent attention to detail and accurate data entry skills.
Strong follow-up skills and the ability to take ownership of assigned tasks.
Able to manage multiple jobs, priorities and conversations at the same time.
Experience using Microsoft Excel, Word, Outlook and Teams, or similar tools.
Reliable, punctual and able to work independently with minimal supervision.
Highly Desirable Experience
We will give preference to applicants who have worked in:
An IT services company, managed service provider or IT support environment.
Field-service scheduling or technician dispatch.
Coordinating onsite IT installations, repairs or service appointments.
Logistics, courier coordination or equipment tracking.
A service desk, operations team or project coordination role.
