Compensation range: $1,500 AUD - $2,000 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: Our client is a Perth-based Design and construction company supporting projects across a diverse range of sectors, including residential, commercial, industrial, civil infrastructure, rail and mechanical design.
The business works across projects of varying scale and complexity, combining practical industry knowledge with modern design technology to develop efficient, accurate and buildable solutions. Their services span everything from residential developments, renovations and commercial fit-outs through to civil infrastructure, railway projects, 3D modelling, mechanical detailing and quantity take-offs.
With a strong focus on technology, efficiency and practical outcomes, the team works closely with clients and project stakeholders to turn concepts and technical requirements into well-coordinated project solutions. Role Overview: We are seeking a highly organised and motivated Project Coordinator to support the successful delivery of residential and commercial construction projects throughout Western Australia.
The Project Coordinator plays a vital role in ensuring projects progress efficiently from planning through to completion by coordinating subcontractors, managing project documentation, assisting with contract administration, maintaining client communication, and supporting the construction team with administrative and project-related functions.
The successful candidate will possess excellent organisational skills, strong attention to detail, and the ability to manage multiple projects simultaneously within a fast-paced construction environment.
Key Responsibilities:
1. Project Coordination

Coordinate multiple construction projects simultaneously.

Monitor project schedules and construction milestones.

Assist Project Managers with daily project coordination activities.

Track project progress and identify potential delays.

Ensure project documentation is current and accurately maintained.

Coordinate internal project meetings and distribute meeting minutes.

Assist in maintaining construction programmes and project timelines.

2. General Administration

Provide administrative support to the management and construction teams.

Maintain electronic and hard copy project filing systems.

Prepare correspondence, reports and project documentation.

Manage incoming emails, phone calls and project enquiries.

Assist with document control and version management.

Maintain registers for RFIs, variations, approvals and project records.

3. Contract Administration

Prepare construction contracts and associated documentation.

Review project documentation for completeness prior to commencement.

Coordinate contract execution with clients and consultants.

Maintain contract registers.

Assist in preparing contract variations.

Ensure contractual documentation is accurately filed and readily accessible.

Monitor contractual milestones and key deliverables.

4. Preparation of Subcontractors and Trade Coordination

Prepare subcontractor packages prior to commencement of works.

Coordinate trade sequencing and construction schedules.

Issue construction drawings and relevant documentation to subcontractors.

Confirm subcontractor availability and commencement dates.

Ensure subcontractors receive updated documentation and revisions.

Coordinate procurement requirements prior to construction.

Liaise with site supervisors regarding upcoming trade activities.

5. Request for Quotations (RFQs)

Prepare and distribute Requests for Quotation (RFQs).

Obtain competitive pricing from subcontractors and suppliers.

Evaluate quotations against project requirements.

Maintain quotation registers.

Follow up outstanding quotations.

Assist management in selecting preferred subcontractors and suppliers.

Maintain relationships with existing and prospective subcontractors.

6. Project Preparation

Prepare project commencement documentation.

Coordinate approvals and required documentation prior to construction.

Assist with procurement of materials and services.

Ensure construction drawings and specifications are complete prior to site commencement.

Coordinate project handover documentation to site supervisors.

Assist in preparing project programmes and construction schedules.

Ensure all required permits, approvals and supporting documentation are available before project commencement.

7. Client Liaison

Act as a primary point of contact for clients throughout project delivery.

Provide regular project updates.

Respond to client enquiries in a professional and timely manner.

Coordinate meetings with clients, consultants and project stakeholders.

Assist with managing client expectations.

Build and maintain strong client relationships.

Resolve issues promptly by liaising with relevant internal personnel.

Requirements
