Invoice & ID Scanning Windows Application

Simple Windows Purchase Invoice & ID Scanning Application

I am looking for a developer to create a simple, easy-to-use Windows desktop application for our scrap metal business.

We occasionally purchase scrap metal/goods from members of the public. We do not require customer accounts, CRM functionality or a complicated database. The system needs to be extremely quick and simple for staff to operate.

Required Workflow

1. Create Purchase Invoice

Staff open the application and are presented with a simple purchase invoice screen.

Each new transaction should automatically receive the next sequential invoice/transaction number, for example:

000124
000125
000126

Staff should not normally need to manually enter or change this number.

The invoice should contain fields for:

- Date/time – automatically generated
- Invoice/transaction number – automatically generated
- Seller's name
- Seller's address
- Description of goods/material
- Amount paid
- Possibly vehicle registration (I would like the ability to include this)

There should then be a simple SAVE & PRINT button.

This should save an electronic PDF copy of the invoice and print a paper copy of the invoice.

After completion, the next transaction number should automatically be generated.

2. ID Scanning

We need to electronically retain a copy of the seller's identification, normally a:

- UK driving licence
- Passport

We are considering using a Plustek SecureScan X50 passport/ID scanner, although I am open to advice from the developer if another scanner would integrate better.

I would like a SCAN ID button within the application.

The important requirement is that the scanned ID is automatically associated with the current invoice/transaction number.

For example, transaction 00124 could automatically create:

00124/

- Invoice-00124.pdf
- ID-00124.jpg or ID-00124.pdf

Then transaction 00125/ would contain:

- Invoice-00125.pdf
- ID-00125.jpg or ID-00125.pdf

Staff should not have to manually name, rename or move scanned files.

3. Simplicity

This is very important.

The application will be used by staff who are not particularly technical.

Ideally the main screen should contain the invoice fields and only a few obvious buttons such as:

SCAN ID

SAVE & PRINT

NEW TRANSACTION

REPRINT / FIND PREVIOUS TRANSACTION

We do not require customer accounts or a complicated accounting system.

4. Record Storage & Security

Because passport/driving-licence images will be retained, I would like the developer to recommend a sensible and secure method of storing and backing up the records.

The system should make it easy to retrieve an old transaction using its invoice number.

Existing completed invoices/ID records should not be accidentally overwritten or deleted by staff.

5. Equipment / Integration

The application will run on a dedicated Windows 11 laptop/PC.

The developer should be comfortable integrating:

- Passport/ID scanner
- Standard office printer
- PDF generation
- Windows file/storage system

Experience with TWAIN/WIA and/or scanner SDK/API integration would be beneficial.

We are currently considering the Plustek SecureScan X50, so please mention whether you have experience integrating Plustek scanners or similar passport/ID scanners.

I would prefer a fixed-price quotation for the complete project.

1. What technology you would use to build it.
2. Whether you have previously integrated document/passport/ID scanners.
3. Whether the Plustek SecureScan X50 can be integrated directly into the application.
