I’m putting together a full-scale system that will let my team receive customer inquiries, link them to the right vendor, and eventually handle invoicing and payments. For this first milestone I want to focus exclusively on the Customer Inquiry & Follow-Up Management module.
What I need built now
• A responsive web form where customers can submit inquiries.
• WhatsApp Business (or similar) integration so messages that come in over WhatsApp are captured automatically; phone inquiries will be keyed in by staff from the same screen.
• Every new inquiry—regardless of channel—must create a single customer record, automatically assign the lead to an available staff member, and generate follow-up reminders that appear on their dashboard and trigger an email/WhatsApp notification.
Core features
• Status pipeline (new, in progress, converted, closed) with configurable follow-up intervals.
• Staff dashboard showing assigned inquiries, next follow-up date, and overdue alerts.
• Admin screen to add/edit staff, define assignment rules, and export basic reports (open inquiries, source breakdown, overdue items).
Tech notes
I’m flexible on stack—Laravel, Node, Django, or a comparable framework is fine—as long as the code is modular so we can layer in the Vendor Service Records and Payment Tracking modules later. Use MySQL/PostgreSQL and keep the UI clean (Bootstrap, Tailwind, or similar). Deployment will be on our Ubuntu VPS.
Acceptance criteria
• Web form, WhatsApp, and manual phone entry all create identical records.
• Automatic staff assignment and follow-up scheduling work reliably.
• Dashboards and notifications function as described.
• Source code, database schema, and a clear setup guide are delivered.
If you’ve built something similar or can show quick prototypes, that’s a plus. Let’s get this foundation solid so we can move on to vendor and payment features next.
