Project Description:
We're a fast-growing beauty wholesale and live commerce company based in Miami, FL (~50 employees) looking for a full-time HR Virtual Assistant (40 hrs/week) to own our HR administration end-to-end.
What you'll own:
Gusto (our HR/payroll platform):
New hire onboarding: send offer letters, collect W-4/I-9 docs, set up employee profiles
Payroll prep: verify hours, flag discrepancies before each pay run
Offboarding: terminations in system, final pay coordination, document trail
Benefits and PTO tracking
HR Documentation:
Maintain employee files (contracts, disciplinary forms, attendance records)
Prepare disciplinary write-ups and termination documentation from templates we provide
Keep our attendance policy and disciplinary process running on schedule
Compliance Tracking:
Track document deadlines (I-9 reverification, policy acknowledgments, safety training sign-offs)
Maintain OSHA-related recordkeeping and safety handbook acknowledgments
Monthly HR compliance checklist reports to leadership
Requirements:
2+ years HR admin or VA experience with a US company
Hands-on Gusto experience strongly preferred (Rippling/ADP/Paychex acceptable if fast learner)
Excellent written English — you'll draft employee-facing communications
Detail-obsessed: our docs need to be audit-ready at all times
Available during US Eastern business hours (at least 6 hrs overlap)
Comfortable handling confidential information (NDA required)
How we work: SOPs and templates provided for everything. We want someone who executes reliably, flags issues early, and doesn't need hand-holding after week 2.
