I am kicking off a modular HR management suite that will ultimately link into a broader school system, but Phase 1 is laser-focused on core staff administration. In this first release I need a secure, web-based platform that lets our HR team create, view, update, and archive complete employee profiles together with all related files—contracts, certifications, ID copies, performance letters, and anything else we attach to a personnel file.
Key workflow requirements
• HR-only access: authentication and granular role control so nobody outside the HR group can see, search, or export these records.
• Unlimited document storage per employee with drag-and-drop upload, logical tagging, version history, and the ability to download originals on demand.
• Smart search and filtered lists (by name, department, hire date, document type).
• Data fields for personal details, job information, compensation basics, and employment status that can be extended later without code changes.
• Clean dashboard and responsive UI; ideally built with a mainstream stack such as Laravel, Django, or Node/React so future modules—leave management, payroll, student records—can bolt on easily.
• Database design and API endpoints documented for my in-house team to integrate reporting later.
Acceptance criteria
1. I can log in as an HR user and add a full employee record in under two minutes.
2. Documents upload successfully (any common file type up to 20 MB) and appear instantly in the employee’s timeline.
3. No unauthorised role can access /api/employee* routes or related views.
4. System installs via Docker or a one-command deploy script on Ubuntu 22.04 and passes initial unit tests you provide.
Deliverables
– Source code in a private Git repository
– Brief setup guide and an ER diagram
– Test credentials for a demo HR account
– Two weeks of bug-fix support after hand-over
