Full-Service Family Gathering Management india

I’m planning a family get-together for roughly 50 guests and need an experienced event manager to run the entire show from first booking to final guest departure.

Scope of work
• Locate and secure a separate hotel dining area that has sofas, chairs and an adjoining banquet and also have mike, sound and music systems and shall suitable for 50 people.
• Coordinate round-trip vehicle logistics so every guest arrives and leaves comfortably.
• Build a detailed time-line that weaves together:
 - Ice-breaker games and other light entertainment
 - A professional family photo session (backdrops, lighting and photographer)
 - Short speech and discussion slots
 - Combined birthday & anniversary celebrations hosted by an anchor who can engage the crowd in Gujarati
 - Dance performances, Garba segment and an energetic DJ set
 - A moment to honour our senior-citizen family members
• Source, brief and manage all on-site manpower: decorators, audio-visual crew, anchor, DJ, photographers, catering liaison, ushers and support staff.
• Stay on-site throughout the event to troubleshoot, keep the schedule on track and ensure every detail runs smoothly.

Deliverables
1. Confirmed venue contract with floor plan.
2. End-to-end itinerary, vendor list and contact sheet.
3. Logistics plan for guest transport and parking.
4. Staffing roster with call times and duties.
5. On-the-day coordination and a post-event wrap-up report highlighting successes and areas for improvement.
