Office Manager of Home Care Operations. Must Have Agency Leadership and Hands-On Sandata/HHAeXchange/Alora/WellSky Billing Experience. ***Do Not Apply Without It.***
Oversee daily operations: intake, scheduling, caregiver onboarding, client services, payroll support, and billing
Supervise and develop office staff, set priorities, and hold the team accountable
Build and enforce workflows so the office runs consistently without constant owner involvement
Billing and revenue cycle
Own the full revenue cycle: authorizations, EVV, 837 claim submission, 835 remittance reconciliation, denials, and A/R follow-up
Make sure claims go out clean and on time, and denials are worked quickly with root cause fixed
Report regularly on billing, collections, and A/R aging
Keep the agency compliant with Wisconsin DHS 105.17, ForwardHealth, EVV, and Family Care MCO contract requirements
Monitor client and caregiver files, authorizations, and documentation, and fix gaps before an audit finds them
Prepare the agency for audits and MCO reviews
Systems and consultation
Configure and optimize our custom platform, using your experience with Sandata, HHAeXchange, Alora, WellSky, or similar
Advise ownership on process, staffing, and growth decisions
Keep SOPs current so staff can follow them independently
Required:
3+ years in a home care agency leadership role (operations manager, director, or administrator)
Hands-on billing experience in Sandata, HHAeXchange, Alora, WellSky, AxisCare, or a comparable platform, including 837/835 and clearinghouse work
Medicaid home care billing and compliance experience
Proven experience supervising office staff
Strong written communication and the ability to work independently
Preferred
Wisconsin ForwardHealth and Family Care MCO experience
Bilingual English/Spanish
Basic technical skills (dashboards, APIs, CSV/EDI) are a plus
