Freelance Care & Healthcare Operations & Compliance Administrator

Location: Remote / Flexible
Contract: Freelance / Part-time, with potential for ongoing work

We are looking for an experienced, highly organised and versatile Freelance Care & Healthcare Operations Administrator to support our growing care and healthcare businesses.

This is an ideal opportunity for someone who has strong administration, compliance, tender writing, care-sector and operational experience and is confident working independently to ensure that everything is organised, up to date and compliant.

Key Responsibilities

The successful freelancer will be responsible for helping to organise and coordinate various areas of our businesses, including:

Providing high-level administrative and operational support across our care and healthcare businesses.
Organising and maintaining company records, documentation and compliance systems.
Supporting the preparation and submission of tenders, bids and procurement applications.
Assisting with the development, review and organisation of policies, procedures and operational documents.
Supporting staff onboarding, ensuring all required documentation, checks and information are completed.
Coordinating staff training, including mandatory and role-specific training, and maintaining accurate training records.
Monitoring staff compliance, including DBS, right-to-work, qualifications, training, supervision and other relevant checks.
Ensuring required daily, weekly and monthly reports are completed, reviewed and followed up.
Maintaining compliance trackers and identifying outstanding actions before they become issues.
Supporting the organisation and preparation of documents required for inspections, audits and commissioners.
Helping ensure care documentation, records and administrative systems are properly maintained.
Supporting the care team with administrative aspects of care plans, risk assessments, reviews and other care documentation.
Assisting with the organisation of supported living/care operations and ensuring processes are consistently followed.
Providing administrative support for our healthcare/clinic operations, helping to ensure documentation, processes and records are organised and up to date.
Identifying gaps in our current systems and recommending practical improvements.
Creating and maintaining organised filing systems and compliance folders.
Following up with staff and managers to ensure outstanding actions are completed.
Helping to put effective systems in place so that the businesses are inspection-ready and operationally organised at all times.
Essential Experience & Skills

You should have:

Proven experience in healthcare, social care, supported living, domiciliary care or a similar regulated environment.
Strong administrative and organisational skills.
Experience with care-sector compliance and documentation.
Good knowledge of staff onboarding and compliance processes.
Experience coordinating training and maintaining staff training records.
Experience with tender writing, bid preparation or procurement applications.
Good understanding of policies, procedures and compliance requirements within care/healthcare.
Excellent written and verbal communication skills.
Strong attention to detail.
The ability to manage multiple tasks and priorities.
Excellent Microsoft Office/Google Workspace skills.
The ability to create trackers, checklists and systems to monitor outstanding work.
The confidence to work independently and identify what needs to be done without constant supervision.
A proactive attitude and the ability to bring structure, organisation and accountability to a busy business.
