1. Project Overview

I am looking for an experienced Microsoft Excel developer to build a comprehensive, automated Excel-based management system for my lead recycling and manufacturing company.

I want to manage our entire business through one integrated Excel-based system, including purchasing, sales, production, inventory, expenses, costing, and management reporting.

The system should function like a mini ERP, with a professional dashboard, automated calculations, structured data entry forms, detailed reports, and user access controls.

The developer must understand advanced Excel, VBA/macros, production calculations, inventory management, and manufacturing costing.

Language requirement: The freelancer must be fluent in either Kannada or Tamil, in addition to being able to communicate effectively in English. This is mandatory because clear communication about our production processes and requirements is important.
2. Main Modules Required
A. Admin Dashboard

Create a central dashboard that provides a complete overview of the business, including:

Daily, monthly, and yearly purchases and sales.
Total raw material stock.
Total finished goods stock.
Stock valuation.
Production quantity by furnace and batch.
Production costs per kg.
Standard versus actual recovery.
Chemical and fuel consumption.
Expenses and outstanding payments.
Profit and loss reports.
Customer and supplier outstanding balances.
Production efficiency and cost variance reports.

The dashboard should update automatically when new transactions are entered.

Important: Only the administrator should have access to confidential information such as company-wide stock valuation, profit, financial performance, and other sensitive management reports.

B. Purchase Management

The purchase module should include:

Supplier details.
Purchase date and invoice number.
Material type and grade.
Gross weight, tare weight, and net weight.
Purchase quantity and rate per kg.
Total purchase value.
Additional expenses, where applicable.
Payment status and outstanding balance.
Automatic updates to raw material inventory.
Purchase history and supplier-wise reports.
C. Sales Management

The sales module should include:

Customer details.
Invoice number and date.
Product name and grade.
Quantity sold in kg or tonnes.
Selling rate per kg.
Total invoice value.
Dispatch details.
Payment received and outstanding balance.
Automatic reduction of finished goods stock.
Customer-wise and product-wise sales reports.
D. Production Management — Most Important Module

The system must support our actual lead recycling production process, including smelting and refining operations.

We currently maintain production charts containing detailed batch-wise production information. The Excel system should automate these records and calculations.

Required features include:

Production date and batch number.
Furnace or pot number.
Product name and grade.
Party or material source, where applicable.
Batch start time and end time.
Charging details and input weights.
Raw material types and quantities.
Standard recovery percentage and expected output.
Actual recovery percentage and actual output.
Difference between standard and actual recovery.
Production time and furnace efficiency.
Work-in-progress tracking.
Finished lead output.
Dross, slag, rejects, spillage, and other relevant material movements.
Material shortage and excess calculations.
Production remarks and approval fields.
Production reports by date, furnace, product, and batch.

The system should support separate workflows for smelting and refining wherever necessary.

E. Chemical, Fuel, Power, and Labour Costing

The production module must record the consumption and cost of chemicals, fuels, electricity, labour, and other production expenses.

Required calculations include:

Standard quantity versus actual quantity consumed.
Standard cost versus actual cost.
Consumption percentage.
Cost variance.
Total batch production cost.
Chemical cost per kg of finished lead.
Fuel cost per kg.
Power and labour costs.
Total conversion cost per kg.
Actual production cost per kg.
Standard versus actual production cost.

The calculations should be automatic and based on entered production data, quantities, and applicable rates.

F. Inventory and Stock Management

The inventory module should separately track:

Raw materials.
Different categories and grades of scrap.
Chemicals and additives.
Fuels.
Work-in-progress.
Finished lead and lead alloys.
Dross, slag, and other recoverable materials or by-products, where applicable.

Required features:

Automatic stock updates after purchases, consumption, production, sales, and authorised adjustments.
Stock movement history.
Opening and closing stock reports.
Physical stock reconciliation.
Low-stock alerts.
Batch-wise stock tracking where required.
Quantity-based access for authorised store personnel.
Restricted stock valuation for administrators and authorised users.

The system must avoid duplicate entries and maintain a reliable transaction history.

G. Expenses and Accounts

Include records for:

Operating expenses.
Electricity and fuel expenses.
Labour expenses.
Transport and handling expenses.
Repairs and maintenance.
Other factory expenses.
Customer receipts.
Supplier payments.
Cash and bank transactions.
Outstanding receivables and payables.

The system should provide management reports for revenue, expenses, production costs, and profitability.

If GST accounting and statutory reporting are included, the developer must specify the scope and limitations clearly.

3. Multiuser Access and Security — Mandatory

Different employees must be able to use the system according to their assigned responsibilities.

Proposed user roles:

Administrator / Owner

Full access to all modules.
Complete dashboard.
Company-wide stock and stock valuation.
Purchase and sales summaries.
Production costs and cost variances.
Profit and loss reports.
Financial reports and settings.
User and permission management.

General Manager

Access to authorised operational reports and production summaries.
No access to owner-only financial information unless specifically authorised.

Production Manager

Enter and review production batches.
View furnace-wise production, recovery, consumption, and authorised costing reports.
No access to confidential company-wide profitability.

Furnace Operator

Enter assigned batch details, charging weights, timings, consumption, and output.
No access to profit, sales margins, or confidential financial reports.

Storekeeper

Record material receipts, issues, and stock movements.
View the stock quantities needed for daily operations.
No access to stock valuation or company-wide financial reports unless authorised.

Purchase and Sales Staff

Access their respective transactions and authorised reports.
No access to confidential financial information or unrelated departmental records.

Accountant

Access accounting records and financial information assigned to the role.
Owner-only reports should remain restricted unless explicitly authorised.

The administrator must be able to manage user permissions.

Security requirement: The developer must explain how the solution will work for multiple users, whether through a shared network, Microsoft 365, or another suitable setup. Simply hiding worksheets or protecting cells with a basic Excel password is not sufficient protection for sensitive financial data.

Please recommend a practical, reliable approach for multiple employees to access the system without overwriting one another's entries.

4. User Interface and Ease of Use

The system should be professional and easy for non-technical employees to operate.

Required features:

A central home screen with buttons for each module.
User-friendly data entry forms.
Dropdown lists for materials, products, furnaces, suppliers, and customers.
Automatic calculations.
Date filters and search functionality.
Printable production reports.
Exportable reports and summaries.
Clear error messages and validation.
Standardised report formats.
Minimal manual calculations.

Where practical, users should enter data through forms rather than editing complex worksheets directly.

5. Existing Excel Production Charts

We already maintain Excel production charts for our smelting and refining processes.

These contain our existing fields, production calculations, standard and actual recovery, material consumption, chemical and fuel costs, and production cost per kg.

I will share sample production charts with the selected freelancer.

The developer must review these charts before finalising the design and identify which existing calculations can be automated directly and which require modification.

The aim is to retain our essential production logic while making the process more reliable, automated, and easier to manage.

6. Technical Requirements

The developer should recommend the most suitable Excel-based architecture for our number of users and operational requirements.

Relevant skills include:

Advanced Microsoft Excel.
Excel formulas and structured tables.
VBA and user forms, where appropriate.
Power Query and PivotTables.
Automated dashboards and reports.
Inventory and manufacturing costing.
Multiuser workflows.
Data validation and error handling.
Backup and recovery procedures.
Role-based access control.

The solution should be maintainable, with clear documentation and minimal dependence on the developer for routine changes.

If Excel alone cannot provide the required multiuser access and security, please propose an appropriate supporting technology while retaining Excel as the main interface or reporting tool where feasible.
