We are looking for an experienced developer to build a self-hosted Email Outreach Automation System for our business.
The system should allow us to import business email lists in CSV or Excel format, validate email addresses, create personalized email campaigns, schedule automated follow-ups, manage replies, and monitor campaign performance through a centralized dashboard.
1. Core Features
1. Contact Management: Import CSV and Excel files, validate email addresses, remove duplicates, and organize contacts into lists and segments.
2. Personalized Email Campaigns: Create reusable templates with personalized fields such as company name, contact name, and relevant business details.
3. Campaign Scheduling: Schedule campaigns and send emails in controlled batches with configurable sending intervals and daily limits.
4. Automated Follow-Ups: Configure follow-up sequences with customizable delays. Automatically stop follow-ups when a recipient replies, unsubscribes, or becomes ineligible for further contact.
5. Centralized Dashboard: Manage contacts, campaigns, replies, bounces, unsubscribes, complaints, sending errors, and available delivery statistics.
6. Email Provider Integration: Support reputable SMTP services or email-sending APIs, including secure credential management and provider-specific sending limits.
7. Reporting and Analytics: Generate campaign performance reports and export relevant statistics.
8. System Administration: Provide secure login, appropriate access controls, activity logs, data backups, and deployment documentation.
2. Email Compliance Requirements
The system must support compliance with applicable email marketing and privacy laws, including CAN-SPAM, CASL, GDPR, UK GDPR, and PECR, depending on the sender, recipient, campaign, and jurisdiction.
Required features:
- Record contact sources, consent where required, and the applicable legal basis or eligibility for outreach.
- Provide controls to verify that contacts are eligible for the intended campaign before sending.
- Include a clear, functional unsubscribe mechanism in applicable marketing emails, with one-click unsubscribe support where required.
- Automatically suppress unsubscribed contacts, known complainants, and addresses that must not receive further messages.
- Process opt-out requests promptly and within applicable legal deadlines.
- Include accurate sender identification, non-deceptive subject lines, and required business contact details and postal address.
- Maintain a centralized suppression list across all campaigns and imported contact lists.
- Prevent suppressed contacts from being accidentally reactivated through subsequent imports.
- Provide appropriate data retention, export, and deletion controls.
- Maintain audit logs for campaign activity, consent records where applicable, and suppression changes.
- Support lawful business outreach and prohibit sending practices that violate applicable laws or the selected email provider's policies.
The system must not assume that a publicly available business email address automatically constitutes consent or permission for marketing.
3. Email Deliverability and Sender Reputation
The system must include safeguards to reduce avoidable bounces, spam complaints, and damage to sender reputation.
Required features:
- Support SPF, DKIM, and DMARC configuration and verification.
- Support custom tracking domains where appropriate and compatible with the selected provider.
- Check domain authentication and sending configuration before allowing campaigns to launch.
- Enforce provider-specific sending limits, configurable daily caps, and controlled sending intervals.
- Process hard and soft bounces appropriately and automatically suppress permanently invalid addresses.
- Process complaint feedback where supported by the sending provider.
- Monitor available delivery statistics, bounce rates, complaint rates, and sending failures.
- Automatically pause or throttle campaigns when configurable safety thresholds are exceeded.
- Retry temporary failures using controlled retry intervals and exponential backoff.
- Support gradual, policy-compliant increases in sending volume where appropriate.
- Prevent deceptive sender identities, misleading headers, and attempts to evade spam filters or provider restrictions.
- Provide troubleshooting logs for authentication failures, blocked messages, and provider rejections.
The system must distinguish measurable results from estimates. Email opens and inbox placement should not be represented as perfectly accurate measurements.
4. Sending Capacity and Infrastructure
Our target is to support approximately 500–1,000 emails per day, subject to provider permissions, account limits, sender reputation, recipient eligibility, and applicable legal requirements.
The developer must specify:
- Recommended email-sending provider and integration method.
- Hosting and infrastructure requirements.
- Any external services or third-party integrations required.
- How sending limits, queue management, retries, and failures will be handled.
- How the system will maintain reliability as campaign volume grows.
5. Technical Requirements and Ownership
- The system should be self-hosted and provide a straightforward administrative interface.
- Provide complete, well-organized source code and deployment instructions.
- Include database setup, configuration documentation, backups, and recovery instructions.
- Protect stored contact data and email credentials using appropriate security practices.
- Include error handling, logging, and basic system health monitoring.
- Clearly document all third-party dependencies and recurring service requirements.
- Provide a working demonstration and testing before final acceptance.
- Transfer the agreed source-code ownership and usage rights to us upon completion.
6. Requirements for Bidders
Please include the following information in your proposal:
1. Your proposed technology stack and system architecture.
2. Examples of similar email automation or campaign management systems you have developed.
3. Your implementation plan for the required features.
4. Your estimated development timeline and delivery milestones.
5. Any external services, infrastructure, or ongoing costs required.
6. Your approach to compliance, deliverability, security, and data protection.
7. Confirmation that complete source code and deployment documentation will be provided.
8. Your testing, maintenance, and post-delivery support plan.
7. Expected Deliverable
We expect a complete, working, self-hosted Email Outreach Automation System that enables us to import eligible business contacts, manage personalized email campaigns, automate follow-ups, monitor campaign performance, enforce suppression and unsubscribe rules, and maintain responsible sending practices.
Please submit a practical proposal explaining your approach, the features you can deliver, the technology you recommend, and the final deliverables you will provide.
