EDIT 2026-10-12: The instructor, student roles are not defined in WP. There is customer information but no special field for student/instructor. This needs to be developed/created either within WP or externally.
1. Project Purpose
Develop a simple, mobile-friendly web application to replace paper in-car lesson records. Integrate it with WooCommerce while keeping development and ongoing costs low.
In simple terms, we want to digitize the attached timesheet so the instructors can fill it out easily and send it out to us without having to print it or do it manually. We already use WordPress/WooCommerce for our students orders and can assign them instructors.
This will have 3 interfaces:
- Admin/Role that can manage this system
- Instructor who performs the lesson
- Student (optional , indicate if you'll have this section or not)
2. WooCommerce Integration and Assignment
Admin reviews an order and manually assigns the student to an instructor. We already have the instructor and student sections setup in WooCommerce/WP.
Instructor receives student details, package information, and login link.
Student receives instructor details, assignment confirmation, and login link.
Editable message templates with placeholders; show delivery status and allow resending.
3. Authentication and Access
Instructors log in using SMS verification codes (OTP).
Students log in using SMS OTP or a secure email login link.
Include expiration, attempt limits, and rate limiting.
Instructors access only assigned students; students access only their own records.
4. Student and Instructor Management
Admin manages students, instructors, assignments, orders, and lesson records.
Student statuses within the instructor dashboard:
Active: Means student assigned to this instructor
Inactive: Means student WAS assigned and no longer assigned and not completed
Completed: Means timesheet is completed and ready to submit
Instructors view assigned students, details, packages, and lesson history.
Student and package information automatically populates lesson records.
Reassignment changes the instructor for future lessons only; historical lessons retain their original instructor.

5. Lesson Recording Workflow
Instructor selects a student and presses START LESSON.
END LESSON records the end time and calculates elapsed duration.
Instructor confirms actual driving time, which may differ from elapsed time.
Instructor signs electronically.
Student reviews the information and signs electronically.
Finalized lesson updates the timesheet and completed/remaining hours.
Each record must include the date, start/end times, elapsed duration, actual driving duration, student, instructor, signatures, signing timestamps, and unique lesson ID.
6. Hours Calculation
Track assigned, completed, and remaining driving hours.
Calculate totals using finalized actual driving time, not elapsed session time.
Display hours and minutes, not decimals.
Support multiple package purchases and admin adjustments.
Allow only one active lesson per instructor at a time
7. Corrections and Change History
Admins can change everything
Instructors can only edit the timesheet and add notes
Never silently overwrite records or signatures.
8. Student Portal (Optional but favored)
Students can log in and view:
Personal and package information.
Assigned, completed, and remaining hours.
Complete lesson history and instructor for each lesson.
Signature and completion status.
Students do not need to print their records.
9. Admin PDF and Printing
Admin can print or download a complete student timesheet at any time.
Include student/package details, chronological lessons, correct instructor per lesson, actual driving duration, signatures, cumulative/remaining hours, branding, and applicable test/result information.
Similar to the attached PDF
Use readable, multi-page, standard letter-size PDFs.
Generate PDFs from the database; similar to the attached sheet.
- We would have copyright over the code
- Code must be built based on good standards
- this is web based app (not a mobile store app) and it can be independent of WordPress but we need to be able to easily submit the WooCommerce packages through the web app.
- You may use AI to build part of the code but that need to be disclosed at every stage
- Must sign NDA
