Our business runs on dozens of inter-connected spreadsheets, and it is time to replace them with a single, web-based application that streamlines the entire operational workflow—from the moment stock reaches the warehouse to the final financial settlement.
Core scope
The platform must handle inventory, suppliers/farmers, customers/merchants, advances, expenses, payments, settlements, and day-to-day warehouse activities in real time. Clean dashboards, quick data entry, and clear audit trails are essential so staff can focus on operations rather than spreadsheets.
User roles & access
• Admin – full control over configuration, reporting, and reconciliation
• Farmer – personal portal/app to view deliveries, advances, outstanding balances, and payment history
• Merchant – portal/app to track orders, invoices, stock availability, and settlements
Security and role-based permissions must prevent any cross-visibility of confidential data while allowing Admin to oversee everything.
Key expectations
• Scalable back-end (proposed stack welcome: e.g., Laravel, Django, Node, or comparable)
• Responsive web front-end; mobile-friendly farmer & merchant views (separate PWA or companion apps)
• Robust database design to avoid data duplication and ensure traceability of every transaction
• Simple migration path: import existing spreadsheet data without downtime
• Audit logs and configurable reports for inventory, cash flow, and profitability
• Clean UI/UX so non-technical users can master it quickly
Deliverables
1. Functional MVP deployed to a cloud environment of our choosing
2. Source code repository with clear documentation and unit tests
3. Data migration scripts and step-by-step deployment guide
4. Post-launch support plan (bug fixes & small enhancements)
