Title: Automation developer needed to sync Gmail, CRM, Google Sheets and project board
Hi,
Every day my team and I copy the same information between our email, our CRM, a Google Sheet and our project board. I want this done automatically so everything stays in sync without anyone touching it.
What I need built (phase 1):
- A scheduled automation that runs every morning
- It picks up new or updated leads, customers and emails from Gmail and our CRM
- It updates our master Google Sheet without creating duplicate rows
- It creates or updates tasks on our project board and notifies the person assigned
- An AI step (GPT or Claude) to clean up messy data and send each task to the right person
- An alert by email or WhatsApp if anything fails
The Google Sheet is our main record. If the tools disagree, the Sheet wins.
Rough volume: about 50 emails, 20 customers and 30 tasks a day.
You can use n8n, Make, Zapier, Python, Apps Script or a mix. Pick whatever is most reliable and cheapest to run. Please tell me about any monthly costs before adding them.
What I expect at the end:
- The automation working in our own accounts (we keep all logins)
- Simple written notes on how it works and what credentials it uses
- A short call or screen recording so we can make small changes ourselves later
It's done when it runs 5 days in a row and the Sheet, CRM and board show the same status, owner and due date for every task by 9 AM, with nothing fixed by hand.
Accounting and other tools will come in phase 2, quoted separately.
About you:
- 10+ completed jobs or clear proof of past work
- You have built similar sync automations before (please share 2-3 examples, a Loom is fine)
- Experience using GPT or Claude inside automations is a big plus
When you apply, please include:
1. Your fixed price for phase 1
2. How long it will take
3. Your hourly rate for future work
4. How you would avoid duplicate entries (one or two lines)
5. Links to similar work
