Our annual church bazaar is on the calendar, and I need an event-planning partner to take the pressure off me. Your main charge is scheduling and logistics: build the day’s timeline, coordinate every vendor, and oversee permits, licenses, and noise-ordinance paperwork.
What that looks like: you’ll secure food and craft vendors, arrange the moon bounce and other rentals, book porta-johns, and stay in touch with each supplier so load-in, set-up, and tear-down run smoothly. At the same time, you’ll shape the decorations and overall site layout so our grounds feel festive and flow well for guests.
To keep everyone on the same page, I’ll need:
• A master schedule with vendor arrival windows, volunteer call times, and contingency notes.
• Confirmed permits and insurance documents filed at least two weeks out.
• A site map that shows booth placement, activity zones, and emergency access routes.
• A procurement list for décor and rentals with delivery and pickup details.
If you’ve handled outdoor community events and can hop on calls in U.S. Eastern hours, let’s get started—the bazaar won’t plan itself!
