I need a streamlined CRM and invoicing system that supports our door-to-door cargo service from the moment a booking is taken to the final proof-of-delivery.
Here’s how the flow should work:
• Admin staff create each booking with the customer’s basic details, pickup address, rough item description (e.g., “2 suitcases, 3 boxes, electricals”), and an estimated total weight. They must also be able to attach collection and extra charges, raise invoices, record payments, and assign the job to a driver.
• Drivers log in, see only the collections assigned to them, and update the status as they go. While on site they add or edit receiver details, list every item type with its exact weight, note the number of pieces, snap photos of what they collected, and mark whether payment was by card, cash, or bank transfer. Once delivered, they confirm completion and upload a final proof-of-delivery photo.
• Back in the office, the admin team track delivery status in real time, review all driver-submitted photos, generate or adjust invoices, and pull basic reports (daily pickups, outstanding payments, weight summaries, etc.).
Acceptance criteria
– Clean, responsive interface with separate permission levels for admin staff and drivers
– Booking form that stores estimated weights yet lets drivers overwrite with actuals
– Secure image upload for collection and proof-of-delivery photos
– Automatic invoice generation that reflects collection fees, extra charges, and recorded payment method
– Status timeline visible to both admin and driver (“Booked → Assigned → Collected → In Transit → Delivered”)
– Exportable reports (CSV or PDF) for deliveries, payments, and charges
I am open to your preferred tech stack as long as the final system is web-based, fast, and easy for non-technical staff to maintain. Please outline your proposed approach, tools, and a realistic timeline in your bid.
either build a new system or offer me a system already build just need editing what ever is cost-effective and reliable
