Power Automate Expert Needed for Automated Real Estate Lead Response Flow
Project Overview

We are a Belgian real estate developer looking for an experienced Microsoft Power Automate freelancer to complete an automation flow for handling incoming property information requests.

Current Situation

All inquiries are received in the our Outlook mailbox:

The email subject always contains the name of the property development project the customer is requesting information about.

Examples:

New Inquiry - Evergem – Elslo
New Inquiry - Adegem
New Inquiry - Assebroek

Desired Workflow
A new email arrives in Outlook.
Power Automate reads the email subject.
The flow automatically identifies the property project.
The flow retrieves the corresponding project information from a SharePoint list or Excel file:
Project name
Contact person
Brochure link
Floor plans link
PDF price list
The flow automatically creates a reply email.
The reply email:
Is addressed to the customer
Uses a predefined HTML email template
Contains the correct project information
Includes the appropriate brochure and floor plan links
Attaches the correct PDF price list
The email is saved as a draft for review.
Additionally, a follow-up email should be automatically sent 7 days after the initial inquiry response. This email will confirm if all information was received correctly and inquire if the prospect is interested in scheduling an appointment for further discussion.
Microsoft Environment:
Microsoft 365 Business, Outlook, Power Automate, SharePoint, OneDrive.
What We Are Looking For:
Proven experience with Microsoft Power Automate, Experience with Outlook connectors, Experience with SharePoint Lists, Experience building automated email workflows, Good communication skills in English or Dutch.
Deliverables:
Fully functional Power Automate flow, Clear documentation, Short online handover/training session, Easy method for adding new projects in the future without programming knowledge.

Additional Information:
Preference will be given to freelancers who can configure and test the solution directly within our Microsoft 365 environment through a Microsoft Teams session.
Expected budget: €500.
Project goal: Reduce manual work by automatically responding to incoming property information requests with the correct project-specific documents and information.
