Automate Invoice Reading and WhatsApp Invoice Sending from PC Folder

Project Description

I need a one-time automation setup for sending invoices to customers through WhatsApp.

Currently, invoices are generated as PDF files and saved in a specific folder on my Windows PC.

I want the following process to be automated:

1. Monitor a specific folder on my PC for new invoice PDF files.
2. When a new PDF is added, read the first page of the invoice using OCR/Python.
3. Extract important information from the invoice, such as:
- Customer Name
- Mobile Number
- Invoice Number
- Invoice Date
- Invoice Amount
- Any other required information available on the first page
4. Prepare a predefined WhatsApp message using the extracted information.
5. Send the message to the customer's WhatsApp number.
6. Send the same invoice PDF as a WhatsApp document attachment.
7. After successful sending, the system should record/mark the invoice as processed so that the same invoice is not sent twice.
8. If OCR fails or any required information is missing, the system should show/log an error instead of sending an incorrect message.

Example WhatsApp Message

Hi [Customer Name],

Your invoice [Invoice Number] dated [Invoice Date] for ₹[Invoice Amount] has been generated.

Kindly make the payment and share the successful payment screenshot on this same WhatsApp number.

The actual message format can be finalized during development.

Important Requirements

- Windows PC
- Invoice PDFs are stored in one specific folder.
- OCR should work with the existing invoice format shown in the attached examples.
- The system should be reliable and easy to use.
- Ideally, after the initial setup, I should not need to manually run the process for every invoice.
- Duplicate sending must be prevented.
- I need a simple error/log system to know if any invoice was not sent successfully.

WhatsApp

The solution should use the official WhatsApp Business/Meta WhatsApp API or another reliable compliant method.

Please clearly mention:

- What WhatsApp API/method you will use.
- Whether Meta/WhatsApp approval is required.
- Whether message templates are required.
- Any Meta/WhatsApp charges that I will have to pay separately.

One-Time Setup

I am looking for a one-time development/setup, not a monthly maintenance package.

Please provide:

1. One-time development cost.
2. Any third-party/API charges separately.
3. Any software/service subscription charges separately.
4. Estimated development time.
5. What support/warranty is included after delivery.

Deliverables

I need the complete working automation, source code, setup/configuration instructions and a short handover/training session.

The automation should be installed and tested on my Windows PC using my actual invoice format before final delivery.
