# AI Inbox Agent for Outlook and Gmail
## Project Overview
FMF Glass Hardware is looking for an experienced AI developer to implement an AI-powered Inbox Agent.
We use both Microsoft Outlook and Gmail, with approximately 5–6 users handling 2,000–2,500 emails per month.
The goal is to reduce the time our team spends reviewing emails, finding information, and preparing repetitive responses.
## Main Requirements
The AI Inbox Agent should:
* Connect with Microsoft Outlook and Gmail
* Categorize emails as urgent, routine, or low priority
* Identify the purpose of each email
* Draft replies based on past emails and approved company information
* Answer common questions about products, quotes, stock, orders, and shipping
* Identify missing information and recommend what should be included
* Compare emails with previous conversations or agreements
* Flag conflicting, unusual, or important information
* Allow users to review and approve replies before sending
* Improve over time based on approved responses and feedback
The agent should be able to use selected historical emails, company documents, product information, policies, and frequently used responses.
## Project Implementation
We need the selected developer to:
* Review our current email process
* Recommend the right technical approach
* Build and connect the AI agent to Outlook and Gmail
* Create a simple interface for reviewing drafts and flagged emails
* Test the system with our team
* Train users and support the initial launch
## Future Expansion
This Inbox Agent is the first phase of a larger AI implementation at FMF.
If the initial project is successful, we plan to expand AI agents into Sales, Marketing, Customer Service, Operations, Inventory, and Purchasing.
The initial system should therefore be built in a way that can support additional agents in the future.

Our budget for the initial phase is approximately **CAD $3,000**.
